Ray White Commercial WA is experiencing strong growth and is seeking a motivated and enthusiastic Administration Assistant to join our award-winning Property Management team located onsite at Kardinya Park Shopping Centre.
Working with a supportive and high performing team, you will gain valuable industry knowledge and hands on experience within a recently developed shopping centre.
Key ResponsibilitiesAsset Administration: Reception duties; daily liaison with key stakeholders inc. customers, tenants, consultants, contractors, Local Government officers, community groups etc; assist with budget preparation, collecting rents, petty cash reconciliations, variable outgoings management, manual billings (energy, gas, extended trade), percentage rents, accounts payable, production and collation of Centre Income & Expenditure reports, Capex & P&L reports; centre newsletters, Monthly Sales Reporting, HS&E Reports, quarterly asset reviews.Lease Administration: Responsible for entry of all leasing information into Cirrus8, New Properties, Management Agreements, New Companies, New Leases, Assignments, Renewals, Variations, Rent Reviews, Tenant Vacate; ensure tenancy schedule up to date; collate and manage Bank Guarantees/PLI certificates registers; after hours contact databases; management and collation of monthly retail sales reporting; resolve account queries with Tenants and Landlord.Facilities Management: Assist with the management of CirrusFM contractor management applications and Contractor information; coordination of onsite contractors, control and issue access passes and work permits, contractor site induction process, tenancy delivery processes, centre and tenancy audits; Incident Management: attend to and report on incidents within acceptable time frames in line with policy and procedures (First Aid Certificate advantageous)Marketing: Assist the Marketing Manager with roll out of onsite marketing activities and promotions including coordination of activities and stakeholder communications; Social Media management; visual merchandising; EDMs; promotional production and community stakeholder engagement plans.
RequirementsPrevious experience in Shopping Centre Administration is preferred Strong written, verbal, and interpersonal communication skillsHigh attention to detail with a proactive, can-do attitudeAbility to quickly learn and apply relevant property legislation and regulationsExcellent organisational skills with the confidence to make decisionsProficient in Microsoft Office and property management systems (experience with Cirrus 8 will be advantageous)
