About The Role
We are seeking a reliable, detail-oriented, and friendly Administrative Assistant to be the "backbone" of our office. You will be the first point of contact for our customers and provide essential support to ensure our daily operations run smoothly.
Ideal for
Parents and caregivers with school-aged children seeking a professional role within school hours, ~ 9:30 to 2:30 | Monday to Friday (25 hours per week)
Key Responsibilities
* Customer Interaction: Act as the first point of contact by answering and directing incoming phone calls and responding professionally to customer emails.
* Administrative Support: Assist with daily office tasks including filing, data entry, scanning documents, and maintaining accurate records.
* Office Coordination: Manage office supplies, handle incoming/outgoing mail, and ensure the reception area remains tidy and welcoming.
* Scheduling: Coordinate appointments and manage team calendars to prevent scheduling conflicts.
* Financial Admin: Light assistance with accounts, such as processing basic invoices, tracking expenses, or chasing receipt scans.
* Ad-hoc Tasks: Provide support for special projects, prepare basic reports, and assist other team members as needed.
Skills & Qualifications
* Communication: Excellent verbal and written communication skills with a focus on high-quality customer service.
* Organisation: Strong time-management skills and the ability to multitask in a busy environment.
* Tech Savvy: Proficiency in Microsoft Office (Word, Excel, Outlook) and a quick learner for new office software or databases.
* Attributes: Proactive, self-motivated, and able to work both independently and as part of a supportive team.
* Reliability: Since this is a core support role, we need someone we can count on to be there during these key hours.
Pay
From $30.00 per hour
