Full-time (Monday to Friday, 9:00 AM – 5:00 PM)

$65,000 (including superannuation)

The Role

We're looking for a personable, motivated, and organised Practise Administrator/Receptionist to join our growing team and help drive the success of our practice. This dynamic, hands-on role is perfect for someone with a foundation in administration who is eager to develop their organisational skills while making a real impact. As our valued team member, you'll be the heart of our practice; the first point of contact for clients, a trusted support to practitioners, and a key player in growing our community presence.

Key Responsibilities

Client Engagement & Conversion:

* Welcome clients warmly and create exceptional first impressions
* Handle enquiries with skill and care, converting calls and emails into confirmed bookings
* Proactively match clients with the most suitable practitioners based on their needs, availability, and service offering
* Build rapport quickly and confidently guide clients through the booking process

Day-to-Day Operations:

* Manage client bookings, referrals, practitioner scheduling, and communications
* Provide administrative support to the practitioner team
* Answer phone calls and emails with warmth, professionalism, and responsiveness
* Maintain a welcoming, clean, and calming practice environment
* Support the planning and coordination of practice events, workshops, and promotional campaigns
* Follow a social media calendar, monitor social media profiles, inbox and notifications across platforms
* Process service payments, Medicare/private health rebates, and invoicing
* Work collaboratively with leadership to optimise operations for the benefit of clients, practitioners, and the business

We're looking for someone who is...

* A natural people person with strong interpersonal skills and the ability to build trust and rapport quickly
* Persuasive and solutions-focused, able to confidently guide clients toward the right practitioner and secure bookings
* Highly organised, detail-oriented, and capable of juggling multiple priorities
* Comfortable with social media and able to maintain our online presence
* Tech-savvy and comfortable using digital tools (e.g., Cliniko, Healthengine, Canva, social media platforms)
* An excellent communicator, both written and verbal
* Passionate about holistic wellbeing and aligned with our values of compassion, integrity, and whole-person care

Experience & Skills

Essential:

* Previous experience in customer service, sales, client relations, or administrative roles (preferably in health, wellbeing, or service-based industries)
* Strong communication skills with a knack for turning enquiries into bookings
* Digital proficiency in office software and cloud-based tools
* Ability to work independently and responsively in an agile small business environment

Desirable:

* Experience with health booking/payment systems (e.g., Cliniko, Healthengine)
* Basic marketing support skills including social media content creation/posting, newsletter writing (Mailchimp), or promotional campaign support
* Understanding of Medicare billing and private health rebates
