A great opportunity has become available for an experienced **Technical Administration Officer **Chief Technical Officer and providing administration support to the Technical & Engineering function at country level. The role requires an individual who is proactive, tenacious, forward thinking, confident and flexible, with the ability to remain calm under pressure. **RESPONSIBILITIES**
The Technical Administration Officer will provide direct support to the Vice President, Chief Technical Officer. Specific responsibilities include:
- Diary management
- Coordination and preparation of reports.
- Follow-up completion of meeting actions and other tasks assigned to staff. Developing and maintaining sound working relationships with senior management, team leaders and other staff both internally and external to the company.
- Organising meetings and functions, including catering and booking of meeting rooms for both in-house and off-site events and conferences.
- Booking and coordinating travel and accommodation requirements both domestic and international travel.
- Booking international travel and assisting them with unusual domestic travel requirements.
- Timely management of expenses acquittals and processing of invoice payments and associated financial documentation.
- Providing support to corporate events as required.
The Technical Administration Officer will provide administrative support to the corporate technical team:
- Administration of Early Careers Induction Program, including organisation of face to face training events.
- Administration of Thales' relationship with Engineers Australia and program for accreditation of engineers.
- Administration support to the process for recognition of specialists and experts.
- Administrative support to the engineering resource management process.
- Support to preparation of corporate dashboards.
- Maintain a library of job descriptions for technical roles.
- Organisation of technical conventions and similar.
- Support financial processing covering purchasing, invoicing and payment processing.
**KNOWLEDGE, SKILLS & EXPERIENCE**
- Business Administration or equivalent
- Proven experience in an Executive Assistant or like role in a busy Corporate environment.
- Advanced skills in Microsoft Office suite - Demonstrated time management skills and high attention to detail.
- Excellent verbal and written communications skills.
- Advanced proficiency experience with MS Word, Excel, PowerPoint, OneNote and Outlook
- Superior organisational skills, ability to work under pressure, manage competing priorities and working to tight deadlines
- High attention to detail and confidence
- Proven ability to maintain confidentiality and manage sensitive information
