As Receptionist / Front of House Coordinator you will represent and manage the front-of-house of the business. Receptionists are a pivotal member of staff in any company. They are the first point of contact for any visitors to the office or anyone contacting an organisation, so being well-presented and polite are pivotal traits. You will be responsible for ensuring the successful and efficient management of our social club, you will support all administrative processes, as well as the responsibility of communicating these procedures throughout the rest of the business. You will be responsible for taking overall care and maintenance of the studio space. You will do this by clearly communicating the common responsibilities expected by all studio occupants and managing your own role-specific duties.
This role reports to the Senior Leads across the Group and will receive Studio guidance from both the Production Manager and Finance team.
The Role
This role is dynamic and significantly contributes to the culture due to its ability to interact and connect with all staff interdependent of their seniority, team or department. The Studio Admin & Cultural Co-ordinator assists the wider team with ad hocs, HR administration as required, as well as co-ordinating and leading social occasions and discussions, in addition to being a point of reference for all thing's admin and studio.
Key Responsibilities
**Reception and Studio Administration**
- Always answering all incoming calls in a professional and timely manner.
- Maintaining the office calendar and pro-actively prepare rooms for client meetings.
- Taking new business enquiries and following the correct procedure, in gathering information and forwarding this through to the Managing partner that deals with our New Biz enquiries.
- Collect and send post for all agencies as well as receiving and dispatching deliveries.
- Ensure monthly reconciliation spreadsheets are up-to-date and reconciled evenly alongside the Office Manager.
- Maintain petty cash and track spend.
- Organise couriers when needed.
- Be the first point of contact for all studio/office queries.
- Support colleagues with admin tasks as necessary i.e. photocopying, printing, mailing, etc.
- Office365 maintenance and assistance
**Studio Maintenance**
- Ensure the studio is always kept tidy, meeting rooms are cleaned after use and at the start of each day.
- Managing all Office supplies and ensure the studio has necessary resources; milk, coffee, fruits, print toners, stationary, equipment.
- Maintain the studio environment and its surroundings.
- Be responsible for organising and advising suppliers.
- Creating a lively, fun, people-focused work environment that the team can thrive in.
**HR Administration**
- Organise new starter and leavers paperwork, inductions and equipment.
- Organise rooms and equipment for all internal training sessions.
- Organise catering/gifts for necessary situations.
- Organise staff gifts when needed i.e., anniversaries (10 years), leavers, new starters etc,
- Collaborate and Support teams with Ad-Hoc projects.
- Creating End of month Meeting slideshows
- Collating monthly team news
- HubSpot maintenance and Digital Marketing assistance
Other Responsibilities
**Communication & Culture**
- Communicate company messages when needed via Teams.
- **Being Head of the Social Club with organising events, be an active member, delegate tasks to other social club members when organising for events.**:
- Organising charity events and maintaining Group's commitment to charity.
- Actively participate in our knowledge sharing culture by sharing industry news or ideas via Clarizen.
- Participate in Ad Hoc projects assigned by Line Manager/Senior Staff
