Project Coordinator - Insurance Construction

Based in sunny Warana on the Sunshine Coast, the team takes pride not just in the quality of projects, but in the people and partners who make them possible. With strong growth in the insurance repair space, Watermark Constructions is now looking for an organised and proactive Project Coordinator to join the office-based team.
About the role
This full-time role is perfect for someone who thrives in a fast-paced environment, enjoys juggling competing priorities, and takes ownership of keeping jobs moving and all parties informed. Working closely with Site Supervisors, trades, insurers and customers, you will coordinate day-to-day repair activities from the moment the contract is signed through to completion. You will be based in our Warana office, supporting projects across Queensland and Tasmania.
What you'll be doing
* Coordinating end-to-end insurance repair projects, including scheduling inspections, trades, technicians and specialists.
* Preparing, updating and tracking work orders, variations, and job documentation in Prime Ecosystem and MS Office.
* Liaising with homeowners, insurers, assessors and trades to provide updates, confirm access and resolve queries in a timely and professional manner.
* Monitoring job progress, following up outstanding documentation and ensuring repairs stay on track within scope, budget and timeframes.
* Assisting with compliance and pre-construction requirements including engineering, certifications, QBCC documentation and safety paperwork.
* Cost management through claim life and handling of trade invoices.
* Supporting Supervisors and the broader team with general admin, reporting and continuous improvement initiatives.
What you'll bring
* Experience in a coordination, scheduling or a project support role, ideally in construction, maintenance or insurance repairs.
* Strong organisational skills with the ability to manage multiple jobs, priorities and deadlines.
* Confident communicator who builds rapport quickly and can handle difficult conversations with empathy and professionalism.
* Solid computer skills, including Outlook, Excel and Word; experience with Prime Ecosystem or similar job management systems is a bonus.
* A solution-focused, team-first attitude – you're proactive, reliable, and happy to roll up your sleeves to help where needed.
