Where You'll Be Working
The Emergency Department at John Hunter Hospital is one of the busiest and most dynamic tertiary services in New South Wales. Operating 24/7, the department provides comprehensive adult and paediatric emergency care and is the major trauma referral centre for the Hunter New England region. Located in New Lambton Heights, Newcastle, the hospital offers a collaborative, multidisciplinary environment within a leading teaching and research facility, currently undergoing significant redevelopment as part of the John Hunter Health and Innovation Precinct.
About The Role
Review the 24/7 roster for the coming days and weeks to identify unfilled shifts, leave clashes, or potential on-call coverage risks. Liaise with clinical leads to determine suitable coverage options, contact locum agencies or internal relief pools if urgent backfill is required, and review overnight sick leave notifications to make any necessary roster adjustments.
Review and manage the Medical Director's diary, ensuring meetings are appropriately prioritised and supported with relevant briefing notes (e.g. credentialing committee, workforce review, and performance meetings). Triage or draft confidential correspondence as required and respond to urgent enquiries from HR, payroll, or department heads.
About You
We are seeking a highly organised and proactive professional with demonstrated experience in medical workforce coordination and executive administrative support within a complex healthcare environment. You will bring strong rostering expertise, excellent communication skills, advanced proficiency in Microsoft Office and workforce systems, and the ability to manage competing priorities in a fast-paced 24/7 setting.
You exercise sound judgement, maintain strict confidentiality, and build effective working relationships with clinicians, executives, HR and payroll stakeholders. Resilient, detail-focused and solution-oriented, you are committed to supporting safe, high-quality patient care through effective workforce management.
How You'll Be Supported
The successful applicant will be supported by an experienced and collaborative leadership team. Structured orientation and handover will be provided, along with access to established workforce systems, policies and procedural guidelines.
Ongoing support includes regular engagement with the critical Care Administration Manager, Emergency Medical Director, senior clinicians, Human Resources, Payroll, as well as access to professional development opportunities.
You will be part of a multidisciplinary team committed to shared problem-solving, operational continuity and continuous improvement in a dynamic 24/7 healthcare setting.
