Job Title: Personal Assistant

We are seeking a highly organised and proactive individual to support our Managing Director and help keep our fast-paced, multi-division operation running smoothly. This role is ideal for someone who thrives on variety, responsibility and being at the centre of a dynamic, project-driven business.

About the Job
As the right-hand person to the Managing Director, you'll be the key point of coordination across multiple business units. You will support the MD with everything from scheduling and administration to project coordination and communication between teams, suppliers and clients. Your ability to stay organised, anticipate needs and maintain professionalism will directly support the successful delivery of major industrial and civil projects throughout the region.

Key Responsibilities
- Manage and coordinate the Managing Director's busy calendar, meetings and commitments
- Prepare agendas, take minutes and follow up on action items from internal and external meetings
- Screen and prioritise incoming emails, calls and correspondence
- Assist with preparation of project documents, reports, quotes and presentations
- Coordinate travel, accommodation and site visit arrangements
- Support project and operational workflows across different divisions
- Maintain confidential files, business records and documentation
- Liaise with construction teams, subcontractors, suppliers and clients to ensure smooth communication
- Assist with tender document preparation, compliance documentation and job tracking
- Provide general administrative and organisational support to senior leadership

Required Skills & Qualifications
- Demonstrated experience as a Personal Assistant, Executive Assistant or senior administrative support role
- Exceptional organisational skills with the ability to juggle competing priorities
- Strong written and verbal communication skills
- High level of discretion and professionalism when handling sensitive information
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint)
- Ability to work in a fast-paced environment with shifting priorities
- Strong attention to detail and accuracy
- Self-motivated, reliable and able to work autonomously
