We are on the lookout for a proactive, organised, and compassionate individual to join our dynamic team supporting a group of medical professionals. Based at Darwin Private Hospital, our surgeons are dedicated to delivering exceptional, patient-focused care and restoring quality of life to the people of the Northern Territory.

As a valued member of our team, you'll play a key role in keeping the practice running smoothly, professionally, and efficiently each day. This is a full-time opportunity for a motivated individual who brings a positive attitude, flexibility and a willingness to support the team as needed.

About the role

Your responsibilities will include (but are not limited to):

* Being the welcoming face of the practice and the first point of contact for our patients
* Managing phone and email enquiries promptly and professionally
* Scheduling and coordinating appointments
* Organising surgical bookings, including all pre- and post-operative arrangements
* Liaising with hospitals, doctors, and allied health professionals to ensure seamless patient care
* Responding to general enquiries with clear and effective communication
* Issuing invoices, receipts, and quotes, and managing account enquiries
* Handling all billing processes including Medicare, ECLIPSE, and EFTPOS
* Maintaining stock levels and coordinating practice supplies
* Providing high-level administrative support to the surgeons
* Assisting with general administrative duties as required
* Ensuring all processes meet confidentiality and privacy standards

About you

You're confident, organised, and thrive in a fast-paced environment. You'll bring:

* Warm, empathetic, and professional interpersonal skills
* Excellent organisational and time management skills, even under pressure
* Clear, professional verbal and written communication skills
* A strong understanding of patient confidentiality
* Outstanding multitasking and problem-solving abilities
* Exceptional attention to detail and a genuine passion for delivering high-quality service

Previous secretarial experience is essential, along with a solid working knowledge of the Microsoft Office Suite (Word, Excel, and Outlook). A polished and professional presentation is also essential.
