About the Role We are seeking a detail-oriented and proactive Project Administrator to support our project management team. The successful candidate will play a crucial role in coordinating project activities, managing documentation, and ensuring effective communication among stakeholders. Key Responsibilities
* Preparing detailed project budgets and financial forecasts
* Managing and monitoring project expenses to ensure alignment with approved budgets
* Analysing and forecasting project profitability and financial performance
* Arranging project financing in coordination with the Finance Manager
* Supporting project managers with administration, coordination, and communication tasks across multiple active projects
* Scheduling and preparing for meetings, taking minutes, and following up on action items
* Maintaining and updating project documentation such as timelines, registers, contracts, reports, and budgets
* Assisting with procurement processes — preparing purchase orders, liaising with suppliers, and tracking invoices
* Helping monitor project progress and ensuring deliverables are met on time
* Acting as a central point of contact between internal teams, external vendors, and stakeholders
* Using project management tools and systems to support planning, reporting, and delivery
What We’re Looking For
* Previous experience in a project coordination or administration role (minimum 2 years)
* Experience working in finance and operations within GCC-based companies
* Proficient and well-versed in Pronto Software for managing project and financial data
* Strong organisational skills with excellent attention to detail
* A natural communicator – comfortable engaging with a wide range of people and ensuring everyone stays informed
* Proficiency with Microsoft Office (Word, Excel, Outlook); experience using project management tools (e.g., MS Project, Asana, Trello, or similar) is a plus
* Ability to manage competing priorities and meet tight deadlines
* A proactive, can-do attitude — someone who enjoys being part of a team and stepping in to support where needed
* Diploma or Bachelor's degree in Business Administration, Project Management, or a related field
Desirable Attributes
* Experience in project administration
* Familiarity with project management methodologies such as Agile or PRINCE2
* Ability to work independently and as part of a team
