The Opportunity:
As part of the CLCM Commercial team, the CLCM Contract Administrator is accountable under general direction by the CLCM Commercial Manager to perform delegated tasks including contract administration and commercial planning to achieve the desired outcomes within an integrated workforce. They are accountable to ensure knowledge of and compliance with legislative frameworks, government decision-making, and Defence's mission and policy requirements.
All members of the CLCM Commercial Team are to have sound commercial acumen, commensurate to their role within the team. Under general direction of the CLCM Commercial Manager, the CLCM Contract Administrator will use their knowledge and skills to solve complex and unique problems and strive for best contract management practice.
This role is considered mid-level and requires interaction with a range of internal and external stakeholders while managing several contract tasks simultaneously.
The key responsibilities of the role include:
* Support contract management and procurement activities within the ASDEFCON Contracting suite, including subcontract support, by providing accurate and timely information and reports.
* Assist with S&Q activities and other service requests under the CLCM Contract, while managing contractual correspondence, claims, and notices for both the CLCM contract and subcontractor arrangements.
* Undertake business administration tasks such as drafting correspondence, briefs, scheduling, and office management activities to ensure effective operations.
* Maintain contract records to ensure compliance with the CLCM contract and provide contract analysis and advice to the wider team as required.
* Coordinate with operations, finance, and project controls teams to assist in the delivery of contractual reporting requirements.
* Support the management of Intellectual Property and Technical Data, ensuring compliance with approved plans, and assist with export controls and ITAR compliance.
* Review contract deliverables and invoices, and, under the guidance of the Commercial Manager, assist in drafting contract documentation, managing procurement planning, tendering, and contract management activities.
* Provide high-level advice on commercially sensitive reports, contract change proposals, and other documentation, while working collaboratively with stakeholders to address complex contracting issues, including dispute resolution.
* Contribute to strategic planning, project management, and policy development by providing detailed administrative, professional, and policy advice.
As the ideal candidate you will bring:
Essential:
* Hold an Australian Government security clearance of Baseline, with the ability and willingness to obtain NV1 clearance.
* Previous experience in the Defence sector, particularly in commercial, procurement, and contracting roles.
* Solid experience in financial management, billing procedures, and contract administration.
* Tertiary qualification in a relevant legal, business, or commercial field, or at least 2-3 years' experience in a similar position.
* Strong communication skills with the ability to engage effectively with stakeholders.
* High attention to detail and the ability to work in a structured environment.
* Proficient in MS Office products.
* Familiarity with ASDEFCON contracts, or a willingness to develop knowledge in this area.
Desirable:
* 5 years of experience in contract administration and procurement roles, including contract support and KPI reporting.
* Experience with Defence and Commonwealth Government finance, contracting policies, and practices.
* Proficiency in SAP.
* Knowledge of or experience with the implementation and compliance of export controls and US International Traffic in Arms Regulations (ITAR).
