Job Overview
The Administrative Officer will play a pivotal role in ensuring the smooth operation of various administrative functions, processes and operations.
This position offers full-time hours on a 6-month contract, with the potential for extension and professional growth.
The work hours are from 8 am to 4 pm, creating a 36.75-hour workweek that balances productivity and work-life harmony.
Key Responsibilities
* Manage reception and front-of-house duties, providing a welcoming atmosphere and exceptional customer service.
* Handle accounts-related tasks, including invoice management, payment processing, and procurement services.
* Ideal experience includes accounts administration, especially in accounts payable processing and AP processing.
* Address queries from both internal staff, clients and external suppliers.
* Coordinate appointment bookings and maintain a comprehensive job list for Trade staff technicians and teams.
* Monitor and upload service reports to work orders, ensuring timely completion and client satisfaction.
Essential Requirements
* A minimum of 4-5 years of office administration experience is mandatory, with a strong focus on trade administration.
* Preferably, possess administration experience within a trade background industry, with expertise in asset management systems such as Maximo.
* Proficiency in MS Office tools, with an emphasis on Excel, Word and PowerPoint.
* Exposure to Customer Relationship Management (CRM) software would be advantageous.
* Strong customer service approach with excellent communication skills, negotiation and conflict resolution.
* Proven ability to manage multiple tasks efficiently, prioritize deadlines and meet expectations.
* Comfortable working within a structured administrative environment, with minimal supervision and maximum autonomy.
