About the Role
We are seeking a detail-focused Administration Officer to provide high-quality administrative, data and compliance support across our operations team. Reporting to the Head of Operations and the Quality & Compliance Manager, this role plays a critical part in maintaining accurate student and training records, supporting state and national funding requirements, and ensuring strong compliance outcomes.
This role works closely with Student Operations, Industry Operations and Quality & Compliance teams to support efficient and compliant operational processes.
Key Responsibilities
* Maintain accurate student and course data within the Student Management System (SMS/LMS)
* Conduct data rectifications and quality checks to support compliance and funding requirements
* Prepare and support AVETMISS-compliant reporting and mandated data submissions
* Monitor, reconcile and maintain evidence for state and national funding programs (NSW, QLD, ACT)
* Manage Commitment ID (CID) applications and other funding-related identifiers
* Identify and resolve data discrepancies impacting funding or student outcomes
* Support internal audits, evidence collection and self-assurance activities
* Provide administrative support for traineeship funding and portal submissions
* Process and manage compliance checks including WWCC, Blue Card, NDIS screening and USI verification
* Support certificate issuance, postage, courier arrangements and documentation management
* Assist with general office coordination and administrative support
About You
You are highly organised, detail-oriented and confident working with data, systems and compliance requirements. You take pride in accuracy, process improvement and supporting teams behind the scenes.
You will bring:
* Experience in an RTO, VET or training environment (preferred)
* Strong understanding of AVETMISS reporting and funding compliance requirements
* High level of attention to detail and data accuracy
* Proficiency with SMS/LMS systems and Microsoft Excel
* Strong time management, problem-solving and communication skills
* Ability to work independently and collaboratively
