About this Key Role:
This leadership position is responsible for supporting the delivery of successful productions by executing and managing all production requirements as necessary. The Production Leader will work closely with the Director, Manager of Production, and the DTG Theatrical team to ensure smooth operations and high-quality outcomes.
Key Responsibilities:
* Contract Management
o Assist with drafting employment contracts for cast, touring crew, and musicians.
o Manage casual crew contracting for pre-production and operating periods.
o Negotiate union agreements, company policies, and procedures with HR Business Partner and Legal Corporate.
o Maintain knowledge of certified agreements, employment conditions, and National Employment standards.
o Manage contract-related processes, including DocuSign uploads and accuracy of legal trackers.
* Onboarding and Staffing Support
o Assist with employee onboarding for Creative and Production personnel across self-produced productions.
o Ensure safe employment of children in productions and required reporting is undertaken timely.
o Manage auditions, sourcing staff, venue bookings, agent liaison, scheduling, and setup.
o Vendor relationship management and payment processing.
* Travel Coordination
o Manage travel arrangements for transfer crew, local production team, and international team members.
o Manage immigration requirements for production and creative staff.
* Production Planning
o Assist with scheduling and timeline requirements for productions, including long-view strategy.
o Manage schedule updates, including overview planning and departmental schedules.
o Manage meeting scheduling, agendas, and minute circulation.
* Marketing, PR, and CSR Support
o Conduct market and budget research for future seasons and cities.
o Support external events, invitation lists, and gift lists.
o Provide support for CSR, PR, and marketing activities.
* Financial Management
o Update EFC reports and provide internal and DTG NY reporting.
o Provide coding for accurate and timely Purchase Orders, GRs, and invoices.
o Assist with production, transfer, and operating budgets creation.
o Assist in budget tracking and flag overspend or additional costs.
Ideal Experience:
* Knowledge of creative process in live theatre and ability to manage personnel.
* Minimum three years' experience in the theatre industry, with at least two years at Production Executive level.
* Excellent time management and organisational skills to meet priorities and deadlines.
* Ability to prioritise and multitask in a hectic work environment.
