The Role
We're seeking a motivated, detail-oriented IP Administrator / Paralegal to join our team. Working closely with the IP Administration Manager, you'll play a key role in supporting our trade mark practice, managing Australian and international portfolios, and assisting our lawyers with research, document preparation, and evidence gathering.
This position can be full-time or part-time and offers genuine flexibility, including hybrid working arrangements.

Key Responsibilities
* Partner with the IP Administration Manager to manage filings with IP Australia and international IP offices
* Monitor and manage deadlines and milestones, keeping clients and lawyers informed
* Maintain and safeguard our IP database and practice management systems
* Coordinate domestic and international trade mark filings, registrations, renewals, and portfolio maintenance
* Liaise with clients, foreign associates, and IP offices to ensure matters progress efficiently
* Prepare documentation and compile evidence for trade mark matters
* Conduct and summarise marketplace and legal research
* Provide high-quality administrative support to a team of six lawyers
Skills & Experience
* Exceptional attention to detail and organisational skills
* Strong time management and ability to handle competing deadlines
* Clear and professional written and verbal communication
* Proficiency in Microsoft Office
* Ability to work independently and collaboratively
* Experience in trade mark administration or intellectual property support
* Familiarity with Equinox IP practice management software
* Previous IP experience is advantageous but not required — we value transferable skills and a genuine interest in intellectual property.
