RAAFA has an exciting new opportunity for a motivated and experienced Senior's Living Coordinator and Systems Lead to join our team in a full-time role that combines high-level administrative coordination, systems oversight, and EA-level support to senior leadership.

About The Role
This is a diverse and high-impact role, requiring a proactive and skilled individual who can balance both systems and data coordination with executive-level administrative support to the General Manager – Residential Aged Care and the General Manager – Retirement Living .
You will be the administrative and systems backbone of the senior leadership team, with responsibilities that span from minute-taking and communications through to overseeing internal system processes, reporting and stakeholder engagement.
This role suits someone who thrives in a multi-tasking environment, is confident liaising with a wide range of internal and external stakeholders, and who brings both technical capability and a polished, professional approach to executive support
* Act as the Executive Assistant to the GM – Residential Aged Care and GM – Retirement Living, including calendar management, meeting preparation, and administrative support.
* Lead and coordinate meetings across multiple internal and external stakeholders, prepare agendas, take accurate minutes, and follow up on actions.
* Draft and format a range of correspondence and communications on behalf of General Managers.
* Manage communication channels in partnership with the Marketing Team, acting as the key liaison between residents, families, and RAAFA leadership.
* Collaborate with Finance to prepare reports and assist with business and operational reporting.
* Provide systems oversight, data maintenance and support across relevant platforms in alignment with compliance and internal processes.
* Assist with audits, surveys and project coordination.
* Maintain and coordinate policy and procedure documentation and support Quality and Compliance teams in managing the Controlled Document Management System (CDMS).
* Be the first point of contact for resident feedback and complaints—ensuring they are appropriately acknowledged, documented, and escalated.
* Manage and maintain document filing systems to ensure data accuracy and accessibility.
About You
* A Certificate or Diploma in Business Administration or related field is desirable.
* Strong experience in providing high-level administrative or EA support to senior executives.
* Well-developed technical and systems competency, including experience with Microsoft Office Suite and intermediate to advanced Excel skills.
* Exceptional written and verbal communication skills, including document formatting and proofreading.
* Proven ability to coordinate multiple priorities, with excellent time management and attention to detail.
* Ability to work independently, use initiative and demonstrate strong problem-solving skills.
* Experience in residential aged care or retirement living is advantageous but not essential.
