**About the role**
The Elective Surgery Reform Program is a Department of Health initiative to improve access to and outcomes of elective surgery in Victoria.
The Grampians Region Health Services Partnership (GRHSP) comprising of Grampians Health - Ballarat, Grampians Health - Horsham, Grampians Health - Stawell, Grampians Health - Edenhope, Grampians Health-Dimboola, Beaufort and Skipton Health Service, Central Highlands Rural Health, East Grampians Health Service, Maryborough District Health Service and West Wimmera Health Service will together be developing a regional plan for improving elective surgery access and outcomes for people in their communities.
We are looking for a dedicated Data analytic, Auditing and Training Supervisor who will be responsible for providing high level administrative support to the Grampians Region Health Service Partnership, Elective Surgery Reform Project.
The position will support processes and procedures for the administrative functions associated with managing the Elective Surgery Reform Project and ensuring accurate and timely completion of administrative functions. It will involve providing excellent customer service with a patient centred philosophy and working collaboratively with colleagues in the Elective Surgery Reform Project and other internal and external stakeholders.
Grampians Health - Ballarat is the fund holder for the GHSP and as such the Data analytics, Auditing and Training Supervisor will be employed through Grampians Health - Ballarat.
The role will provide high level administrative support and management to the Grampians Region Health Service Partnership Elective, Surgery Reform Project with a range of tasks including but not limited to:
- Support the Project Manager, SPSU Manager and the Change & Redesign Manager to deliver on Grampians Health elective surgery reforms and the project plan
- Work with key healthcare organisations across the Grampians Health to drive implementation of Elective Surgery Reform initiatives in line with the project plan
**Leadership and Management**
- Develop and implement communication plans for the project under the guidance of the SPSU manager
- Establish and manage relationships with key stakeholders including medical, nursing, allied health and other staff members
- Development of training schedules for new and existing staff members and ensure central records kept
- Develop and Maintain training manuals that are always contemporary with version control.
- Assist and to author standard operating procedures and publish to SharePoint
- Provide assistance in dealing with enquiries and provide advice regarding data management.
- Plan/develop/implement strategies to improve data capture, in consultation with the Surgery Patient Support Unit (SPSU) Manager
- Assist with the mapping of workflows, current and future state of surgical, and non-surgical activity
- Educate and train administration staff, to ensure smooth operation and accurate completion of activities within expected timeframes and agreed standards
**Administrative Tasks**
- Assist with the recruitment of Administration staff
- Ensure new Administration staff are inducted to the standard procedures and operations of the Clinics
- Manage, facilitate and participate in meeting preparation including preparing and disseminating agendas, papers, minutes etc
- Develop and prepare letters and memos for both internal and external communication.
