About the Role
We are seeking an experienced and professional Medical Secretary / Personal Assistant to provide dedicated support for a growing orthopaedic practice at the newly established Victoria Sport and Joint Clinic in Fitzroy. This is an exciting opportunity to play a pivotal role in shaping a modern orthopaedic practice. As the first point of contact for patients and referrers, you will help create a warm, professional, and patient-focused experience. Beyond traditional administrative duties, this role will suit an individual who enjoys building new systems and protocols, ensuring that both the clinical and administrative functions operate seamlessly. In addition, this role will require liaising with a research unit regarding incorporating clinical studies and data collection within the orthopaedic practice.
Your responsibilities will include:
* Coordinating patient appointments, consultations, and surgical scheduling
* Managing inbound patient enquiries
* Liaising with hospitals, operating theatres, physiotherapists, and other healthcare providers
* Preparing and managing confidential medical correspondence
* Handling billing, Medicare/health fund claims, and payment reconciliation
* Overseeing practice logistics, including surgical equipment coordination
* Assist with practice development, including marketing and referrer engagement
* Liaising with our research unit to incorporate research studies and data collection into clinical practice
About You
We are seeking an experience, confident, professional, and compassionate candidate who thrives in a dynamic environment.
Essential qualities:
* Strong customer service focus and polished phone manner
* Excellent organization and time management skills
* Ability to multitask, priorities, and effectively manage time
* 2 years of previous experience in surgical administration (orthopaedics or surgical practice highly regarded)
* Proven ability to work independently and within a small, high-functioning team
* Professional communication skills, with attention to accuracy and detail
Highly regarded skills:
* Familiarity with medical software (Genie or Gentu)
* Knowledge of Medicare Benefits Schedule (MBS) and private health billing
* Previous PA or executive assistant experience in a medical setting
* Confidence with administrative software (Microsoft Office, Eclipse Billing, and general IT systems)

Role Details
* Hours: Approximately 38 hours per week (with some flexibility for clinic days)
* Probation: 6 months
* Remuneration: Competitive, based on experience with structured review milestones
