Admin Grade 1 + Superannuation + Salary Packaging About the Role: We are seeking a dedicated and professional Administration Clerk to join our team at Sunshine’s Medical Ambulatory Day Unit (MADU), with expectation to also cover at Footscray Hospital, when required. We are a Medical Ambulatory Day Unit that operates Monday to Friday and are seeking someone familiar with maintaining waitlists and patient appointments. This role is integral in providing high-quality customer service and administrative support within the ward/department. As an Administration Clerk, you will be the first point of contact for patients, families, and visitors, ensuring a welcoming and efficient environment. The successful candidate will be responsible for managing reception duties, patient information, medical records, and clerical tasks to support the patient journey. Ensure accurate collection, entry, and maintenance of patient information in relevant systems. Manage admissions, transfers, and discharges in a timely and accurate manner. Efficiently maintain waitlists/appointments. Maintain and update patient medical records, ensuring confidentiality and compliance with hospital policies. Answer telephone calls professionally and direct inquiries appropriately. Support communication within the ward by paging staff, coordinating interpreters, and assisting with patient transfers. Work collaboratively with nursing and medical staff to facilitate smooth ward operations. Participate in quality improvement initiatives and training programs. About You: Experience with

IPM, EMR, and BOSSnet

software systems. Proficiency in waitlisting patient admissions. Highly developed customer service and communication skills. Strong ability to multi-task and prioritise duties in a fast-paced environment. Excellent computer and keyboard skills. Availability Monday to Friday. Ability to adapt to change and work flexibly. Effective team collaboration and problem-solving skills. Strong written and verbal communication skills. Knowledge of medical terminology (desirable). Previous experience in a similar clerical or administrative role within a healthcare setting (desirable).
