Main Responsibilities
Asset Management
* Accurately process administrative item requests, promptly upload documents, and conduct inventory checks
* Accurately manage all assets, perform monthly inventory checks, and verify AMS records
* Conduct procurement of supplies in compliance with company policies and requirements
* Manage company vehicles according to company policies
Office & Branch Management:
* Maintain an optimal office environment based on daily routine
* Accurately and promptly manage bills
* Accurately and promptly purchase supplies
* Handle reception services and mail/courier distribution
* Address maintenance issues and emergencies accurately and promptly
* Efficiently and effectively organize or assist with events
* Efficiently and effectively manage leases and related matters
Staff Support Onboarding/Offboarding:
* Complete onboarding procedures accurately and promptly per SOP and guidance PPT
* Flexibly and properly handle special cases
Travel Assistance:
* Accurately follow travel SOPs for each step
* Address emergencies promptly and effectively
* Proactively remind and, if necessary, assist employees with post-travel reimbursement
Share drive Management:
* Archive documents correctly and promptly
* Maintain and update relevant documents promptly and accurately
* Other Tasks Actively collaborate with colleagues and other departments
* Respond to leadership assignments quickly and efficiently
Executive Support to Managing Director:
* Liaise with internal teams, clients, partners, and stakeholders on behalf of the MD
* Manage personal errands such as bookings, shopping, deliveries, and pickups
* Organize family or personal travel as required
* Handle ad hoc tasks such as gift arrangements, reservations, or event planning
Position Requirements
* Proficiency in both Mandarin and English is highly regarded.
* 1–2 years' experience in office administration, personal assistant, reception, or a related role.
* Bilingual (Mandarin & English Speaker)
* Strong communication and interpersonal skills, with the ability to build positive relationships across the team.
* A proactive team player with a professional, service-oriented mindset.
* Proficiency in Microsoft Office Suite and basic office systems.
