The Administrative Assistant will act as the point of contact for all TechNautics employees, providing operational support, administrative support and managing their queries. Main duties include effective communication with both clients and suppliers, managing office stock, preparing regular reports (e.g expenses and office budgets), maintaining sales, service and project data including equipment and office management tools.
Responsibilities
* Manage office supplies stock and place orders
* Manage client free-issue material and keep track of orders
* Creating price calculations and quotations for clients
* Preparing client invoices and processing credit card transactions
* Maintain and document dispatch process
* Picking up supplies when needed
* Maintain and update company databases including Harvest, Xero and Synergy
* Maintain a filing system for important and confidential company documents
* Monitoring and documenting the progress of projects
* Responding to enquiries and maintaining relationships with clients and suppliers
* Assist accounts team to ensure supplier invoices and internal expenses are managed
* Creating and sending purchase orders to suppliers
* Distribute and store correspondence (e.g. letters, emails and packages)
* Update and create office processes, templates and policies as required
* Assist in planning and execution of ISO audits
* Assist in creating marketing materials
* Working with the marketing agency to ensure the company website is maintained.
* Arrange travel and accommodations when needed
* Schedule in-house and external events as required
* Running weekly team meetings and creating/updating meeting minutes
Requirement and Skills
* 1 year minimum experience in a similar role
* Strong organisational abilities with a problem-solving attitude
* Excellent written and verbal communication skills
* Familiarity with office software (e.g., Microsoft Office suite), email systems, and other relevant tools
* Strong attention to detail
