About the Business

Our Client is a trade‐based construction services company delivering residential and commercial painting and decorating projects. The business operates through multiple subcontractor crews across concurrent projects, where commercial outcomes depend on accurate scope control, timely variation management, and disciplined contract administration aligned with site realities. Unlike corporate construction environments, contract administration within the company is directly linked to daily site activity, subcontractor performance, and cost reconciliation.

Purpose of the Role

This role exists to provide hands‐on contract administration support embedded within painting and decorating project delivery. The Contract Administrator is responsible for maintaining control over subcontractor agreements, variations, and supporting documentation where scope frequently evolves due to site conditions, access constraints, and client‐driven changes. The position is operational in nature and requires close interaction with subcontractors, project supervisors, and finance rather than desk‐based or purely legal contract review.

Key Responsibilities
* Administer subcontractor and service agreements specific to painting and decorating works
* Prepare, issue, and track contract variations arising from site‐based scope changes
* Maintain accurate contract registers, variation logs, and supporting documentation across active projects
* Coordinate directly with subcontractors to clarify contractual scope, pricing adjustments, and documentation requirements
* Support progress claim verification, invoice checking, and alignment with approved contract values
* Liaise with finance to assist with cost tracking, payment reconciliation, and supporting records
* Monitor contractual compliance related to scope, documentation, and agreed deliverables
* Identify gaps or risks arising from undocumented scope changes and escalate for resolution
* Prepare concise contract status summaries for internal review and decision‐making
Essential Experience & Profile
* Minimum 5 years' experience in a Contract Administrator or contract‐focused coordination role
* Demonstrated experience working within trade‐based or subcontractor‐led environments, not purely corporate settings
* Hands‐on involvement with:
o Subcontractor agreements
o Scope‐based variations
o Contract documentation control linked to site activity
* Practical experience supporting financial aspects of contracts, including invoicing checks, claims support, or cost reconciliation
* Strong organisational skills with high attention to detail in documentation‐heavy workflows
* Ability to manage multiple live contracts simultaneously with minimal supervision
* High‐level proficiency in Microsoft Office and structured documentation systems
* Professional working proficiency in English
Additional Experience (Advantageous, Not Mandatory)
* Background in accounting, finance, or cost control supporting contract administration
* Experience coordinating closely with site teams, supervisors, or trade contractors
* Ability to communicate in additional languages, as an operational advantage when liaising with subcontractors and stakeholders
Salary

$ 91,000 - $ 93,000 per annum plus Superannuation
