GOCare Support Services is seeking an organised and proactive Administration Assistant – Operations to support the day-to-day coordination of our disability support services
Position Title : Administration Assistant Operations (Disability Support Services)
Employment type and duration: Full-time Six-months' probation applies
Hours of employment: 76 hours per fortnight 9:00am to 5:00pm
Employment Entitlements: 20 Day annual leave per year,
10 Days sick/personal leave per year
Pay Level: Level 1 Pay Point 1 (SCHADS Awards)
Pay: $30 per hour

In-person role based in Dennington Office, with responsibilities for managing virtual teams across multiple locations and territories.

Scope of the position
An all-rounder to assist to the Operations Manager with the day-to-day operations of the office with various administrative tasks, including answering phones, support marketing, community engagement efforts, manage maintenance requests, manage office supplies, and ensure smooth operation of general administrative functions within the disability support services. This role also includes administrative support tasks for directors and team leaders, as well as providing support to People and Culture functions when necessary.

Skills required
* Communication skills The applicant should have good verbal and written communication skills
* Organisational skills Highly proficient in managing multiple tasks, keeping records, updating files, organising rosters, managing sick leave and bidding shifts, data entry and filing
* Digital Literacy Proficiency in the use of MS Word, MS Excel, One drive, google and digital systems
* Interpersonal skills The applicant should have excellent interpersonal skills and be able to liaise with a range of possible stakeholders, including support staff, participants and director.
* Productivity Tools The applicant should have knowledge or should be prepared to learn how to use productivity tools such as Trello, Canva
* NDIS NDIS Worker Screening Clearance (this will need to be done before start of employment)
* Problem Solving Skills Demonstrated ability to solve problems
* Confidentiality Essential Ability to maintain confidentiality and protect data.
* Attention to detail Must have the ability to pay close attention to detail
Selection Criteria
* Proficiency with technology Trello, ShiftCare, QuickBooks, Canva, Excel, Word, and other systems used by the organisation.
* Strong organisational skills with an ability to maintain physical and digital filing systems.
* Ability to create clear, concise instructional materials and Standard Operating Procedures.
* Strong communication skills for liaising with various stakeholders, including team leaders and
* directors.
* Demonstrated ability to work as a team and independently in a efficient and timely manner.
* Excellent time management, organisational, administrative and problem-solving skills
* Good telephone skills
* Ability to handle sensitive and confidential information with discretion.
General Administrative Support
Key Responsibilities
* Use Trello to manage and track all tasks and deadlines effectively, including staff regular Trello Training.
* Proficiently with technologies and CRM systems such as ShiftCare software for roster management and participant data.
* Assist the Operations Manager with daily duties as required.
* Support marketing, promotions, and community engagement activities
* Handle general office administration tasks such as data entry, correspondence, and document management.
* Answer phone calls, ensuring they are managed quickly and efficiently.
* General day to day office operations such as keep track of stationery orders etc
* Keep staff records up to date, including maintaining files in ShiftCare and Employment Hero

Pay: Up to $30.00 per hour
