Position Summary
We are seeking an enthusiastic and driven Client Services Officer, skilled as a Customer Service Administrator, Medical Receptionist or Document Coordinator expecting a career change.
Reporting to the Operations Manager, you will support consultants by coordinating and preparing file material and patient information for appointments, and assist customers by providing advice and arranging suitable appointments with our specialist consultant team. As a member of our client services team, you will provide high‐quality, client‐ and consultant‐focused business administration support for independent medical services.
Responsibilities
* Collection, preparation and delivery of patient file materials to a portfolio of consultants
* Preparing file materials in accordance with state and national legislation
* Liaising with customers to plan and implement agreed services
* Managing consultant schedules
* Scheduling appointments
* Maintaining busy inboxes with queries, appointments and non‐appointment services
* Providing administrative and operational support to consultant practitioners
* Providing information and advice to customers or prospective customers
* Establishing effective relationships with internal and external stakeholders, including medical consultants, staff, clients and customers
* Undertaking other tasks assigned to the Client Services team, including reception duties, dictation, invoicing and supporting the greater team when necessary
Qualifications
* Demonstrated ability to provide excellent customer service
* Excellent verbal, written and interpersonal communication skills
* Ability to work independently and within a group environment
* Enthusiastic, friendly, and helpful personal approach
* Strong prioritisation skills while maintaining flexibility
* Attention to detail
* Computer literacy, with proficiency in Microsoft Office (Word/Excel)
