Job Description
We are seeking an experienced Project Administrator to join our team. The successful candidate will be responsible for coordinating project administration and records, preparing build proposals, estimating site establishment costs, and analyzing subcontractor quotes.
Key Responsibilities:
* Coordinate project administration and records for North Bondi, Bronte, and Bellevue Hill;
* Prepare build proposals for cost-plus contracts, estimate site establishment, excavation, FRP, structural carpentry, mechanical, electrical, FF&E, and builder's margin;
* Analyze subcontractor quotes, summarize pricing, inclusions/exclusions, and recommend suppliers/consultants;
* Source and procure from premium suppliers and subcontractors;
* Monitor contractor performance via invoices and site diaries, liaise with site/construction managers, and report variations against tender drawings;
* Coordinate certificates of compliance for occupational certification with local councils;
* Organize construction permits with the City of Sydney and Waverley Council;
* Handle enquiries and resolve issues from clients, neighbors, subcontractors, suppliers, and council representatives;
* Prepare and issue RFQs, purchase orders, and change orders, manage variations;
* Prepare and review internal submissions and reports;
* Oversee financial administration, process subcontractor payments, issue client invoices in JACKAPP, liaise with accounts to reconcile in Xero, close out final accounts and retentions;
* Finalize finishes, specifications, and technical documentation to deliver design intent;
* Review and approve subcontractor SWMS via SignOnSite on behalf of project managers/site supervisors;
* Advise senior management on procurement lead times and program impacts, align with the rolling 3-week lookahead;
* Collaborate with project managers, architects, engineers, and clients, conduct technical site walkthroughs to confirm buildability.

* Ability to work independently and as part of a team;
* Proficiency in Microsoft Office and/or similar software;
* Experience in project administration, preferably in the construction industry.
