We're looking for a proactive and experienced Office Administrator to join our small but busy team. You'll play a central role in the day-to-day operations of our roller door business—handling everything from customer bookings and invoicing to supplier coordination and job scheduling.
This position requires someone who's confident working independently, enjoys variety in their work, and has a solid background in office administration, preferably within a service or trades-based environment.
Key Responsibilities
Answer incoming calls, emails and enquiries in a professional and friendly manner
Manage job bookings and schedule service/installation teams using job management software
Create and issue customer quotes and invoices
Ordering parts and doors
Maintain records of stock levels, order supplies and liaise with suppliers
Track job progress and follow up with customers as needed
Maintain accurate digital filing systems
Support the Director and operations team with reporting and administration tasks
Ensure compliance with safety and quality paperwork (e.g. job sheets, warranties, service logs)
Coordinate incoming and outgoing correspondence, deliveries, and mail
Assist with onboarding new staff
Skills & Experience
3+ years in an administration role, preferably in a construction, manufacturing, or service industry
Strong communication and interpersonal skills
Confident with Microsoft Office (Outlook, Word, Excel) and job management systems (e.g. Simpro, Xero) is a bonus
High level of organisation and attention to detail
Ability to manage competing priorities and work unsupervised
Experience managing bookings, scheduling trades, or coordinating logistics is highly desirable
