We're currently seeking a highly motivated, focussed and detail oriented Personal Assistant with excellent problem solving skills and a dedication to their craft. If you thrive on multi tasking and have at least 12 months of experience in a Personal Assistant or Sales Administration role in the real estate industry, we would love to hear from you.
Key Responsibilities of the Role Include:
* Prepare all listing and sale paperwork, including pre-contractual disclosure statements.
* Liaise with the office administration team regarding the agent's listings and sales files.
* Manage and send documents via DocuSign for the agent.
* Book and attend new listing preparation activities, including property photo shoots, staging appointments, and other tasks as required.
* Complete full administration for new listings, such as preparing property ads, canned responses, data input, online and hard copy home open files.
* Coordinate property marketing campaigns, including preparing, printing, and distributing Just Listed & Just Sold letters.
* Prepare and put out directional signs.
* Attend home opens, private viewings, and auctions when needed.
* Execute the agent's promotional marketing plan by working with the marketing team to coordinate all required marketing.
* Prepare and send the agent's monthly e-newsletter.
* Place sold stickers on signboards.
* Attend pest and building inspections as required.
* Book and attend final property inspections.
* Handle key and settlement gift handovers.
* Use the contact management system to enter and track appraisals.
* Manage the agents database, including adding geo data.
* Order and deliver gifts, while maintaining accurate gift lists.
* Additional duties to support the agent as they arise.
The Ideal Candidate will Possess:
* Strong problem-solving abilities and the ability to think on their feet.
* Exceptional attention to detail and dedication to delivering high-quality work.
* Effective at multi-tasking and managing multiple priorities under deadlines.
* Excellent communication and interpersonal skills, with the ability to liaise professionally with clients, team members, and other stakeholders.
* Experience in the real estate industry is a must, with a preference for candidates who have at least 12 months in a Personal Assistant or Sales Administration role.
* Experience with VaultRE, Nurture Cloud or other similar CRM systems is highly desirable.
