We are seeking a proactive and detail oriented Legal Assistant to provide essential administrative support to the Head of Legal. This is an exciting opportunity to work across a diverse range of legal matters including contract management, intellectual property, compliance and corporate governance, within a creative and dynamic environment.
Key Responsibilities:
* Assist with the preparation, filing, and organisation of legal documents such as contracts, NDAs, agreements, policies, memorandums, and correspondence. Ensure that all documents are stored and filed accurately in accordance with company procedures.
* Assist in managing and maintaining existing contracts, ensuring all records are up-to-date and properly filed. Support the legal team in tracking contract deadlines and renewals.
* Assist with basic legal research on regulatory and legislative requirements and case law when needed.
* Help the legal team maintain intellectual property records, including tracking trademarks, patents, and design filings and renewals. Coordinate with external service providers to ensure deadlines are met.
* Provide administrative support for litigation matters including managing pleadings, discovery, and court submissions. Coordinate with external legal counsel to ensure documents are filed timely and deadlines are met.
* Assist with maintaining corporate governance documentation, such as board meeting minutes, resolutions, and compliance records, ensuring they are filed and accessible.
* Act as a liaison between the legal department and internal teams (e.g., People and Culture, Finance, New Product Group, Marketing), facilitating communication and assisting with resolving legal-related issues.
* Provide general administrative support to the legal team, such as managing calendars, scheduling meetings, preparing reports, and maintaining centralized records for legal documents and correspondence.
Qualifications:
* Education:
o A qualification in Legal Administration, Legal Assistant Studies, or a related field.
o Certification in Legal Studies (e.g., a Diploma of Legal Studies) is highly desirable.
* Experience:
o At least 2-4 years of experience working in a legal administrative role, preferably within a corporate or manufacturing environment.
o Familiarity with Australian legal principles, especially in corporate law, intellectual property, privacy, contract law.
* Skills and Abilities:
o Ability to assist with legal research and use of online legal resources.
o Excellent written and verbal communication skills with strong attention to detail.
o Familiarity with Australian manufacturing industry regulations and compliance standards is a plus.
o Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
o Experience with legal software and document management systems is beneficial.
o Ability to manage multiple tasks and work to deadlines in a fast-paced environment.
o Strong organisational skills and ability to prioritise work effectively.
o Discretion and the ability to handle confidential and sensitive information.
