About the role As an Administration Officer (Procurement), you'll be the go‑to support for the Procurement and Contract Management Group. You'll keep the wheels turning by managing day‑to‑day administrative tasks, supporting the leadership team, coordinating meetings, maintaining records, and helping the team stay organised and informed. This role is perfect for someone who enjoys variety, takes pride in accuracy, and thrives in a busy environment where no two days look the same. In this role, you will: * Manage key administrative functions including diary coordination, email management, correspondence distribution, and maintaining team records and intranet content. * Support HR processes such as leave forms, onboarding tasks, establishment reporting, and recruitment administration. * Coordinate meetings, agendas, and logistics, including engagement with senior internal and external stakeholders. * Monitor deadlines and follow‑ups to ensure tasks are completed on time. * Work independently to prioritise tasks, resolve issues, and keep things moving when others are unavailable. * Prepare correspondence, documents, and project materials using departmental templates and standards. * Provide high‑level administrative and secretarial support to the leadership team, using strong computer and keyboard skills. * Use information management systems to process data, maintain records, and generate reports. * Support records management activities and provide guidance to others on correct processes. * Contribute to a positive, high‑performing team culture focused on continuous improvement and quality service. * Assist with maintaining desk‑top manuals and other team resources. * Build and maintain effective working relationships across QCS. * Provide general administrative and executive support as required. About you We're looking for someone who brings: * Experience providing administrative or executive support, including document preparation, inbox management, and data processing. * Strong written and verbal communication skills, with the ability to engage professionally with stakeholders at all levels. * Excellent organisational skills and the ability to juggle multiple tasks in a busy environment. * Initiative, reliability, and the confidence to prioritise work when direction is limited. * Solid IT capability, including troubleshooting basic equipment issues and navigating multiple systems. * Intermediate to advanced Microsoft Office skills and strong Outlook diary/email management. * An interest in procurement or experience in a procurement environment (desirable but not essential).
