The Role
Reporting to the General Manager in Parcel Property, we have an exciting opportunity for a highly organised, proactive, and professional Executive Assistant to support our General Manager and Executive General Manager to ensure the seamless operation of executive-level tasks.
Position Overview
The Executive Assistant will act as the right hand to the General Manager, providing high-level administrative support, managing schedules, preparing reports, coordinating meetings, and handling sensitive information with discretion. This role is ideal for a detail-oriented, tech-savvy, and highly dependable professional who thrives in a fast-paced environment.
This is a Fixed Term Maternity Contract for 15 months.
Some of the key responsibilities of this role are:
* Coordinate and manage quarterly board reporting, including gathering data, reviewing content and ensuring timely submission of accurate and well-formatted reports
* Attend board meetings, take detailed minutes and track follow up actions to ensure completion and accountability
* Liaise with internal teams to ensure awareness and adherence to reporting timelines and deliverables
* Provide high-level executive support, including diary/email management, document preparation and confidential communications
* Assist with recruitment and onboarding, from scheduling interviews to coordinating new hire inductions and documentation
* Coordinate legal documentation and support acquisition tracking, maintaining strict confidentiality
* Manage property administration tasks and act as liaison with external property managers for leases and tenant relations
* Lead WHS coordination, social club events and contribute to a professional inclusive, and engaging office culture
You
You’re a highly organised and professional individual with a strong ability to manage confidential information and support senior leadership. With experience preparing board-level reports and juggling multiple priorities, you bring a proactive mindset, clear communication, and a team-first attitude to everything you do.
You will also bring:
* Excellent verbal and written communication skills, with confidence engaging senior executives and board members
* Ability to analyse and summarise complex information for executive audiences
* Knowledge of land development, acquisitions, and planning processes
* Strong time management, attention to detail, and ability to meet tight deadlines
* Proficiency in Microsoft Office (Word, Excel, PowerPoint)
* C Class Driver’s License
