About the Role
As a Project Administrator, you'll play a pivotal role in supporting our Project Managers to deliver residential building projects to the highest standards. You'll be responsible for coordinating administrative tasks, maintaining accurate documentation, and ensuring compliance with safety and quality protocols. This role is ideal for someone with 3+ years' experience working in an administrative role supporting commercial construction projects with a focus in highly secure environments, That thrives in a detail-oriented team that works together to deliver upon award winning projects.
Due to the nature of the work, Australian Citizenship and the ability to obtain and maintain an AGSVA Security Clearance are mandatory.
Key Responsibilities
The Project Administrator plays a critical support role in the successful delivery of construction projects by providing high-quality administrative, document control, and coordination support to Project Managers and site teams. This role ensures project systems, records, and processes are well maintained, enabling efficient project execution and compliance.
* Uphold and model Manteena's values and expected workplace behaviours in all interactions.
* Provide administrative and coordination support to the Project Manager and wider project team throughout the project lifecycle.
* Manage and maintain project documentation, including correspondence, drawings, registers, reports, and approvals.
* Assist with procurement administration, including issuing purchase orders, tracking deliveries, and maintaining subcontractor and supplier records.
* Support cost tracking by processing invoices, claims, variations, and retention documentation in line with project requirements.
* Monitor and update project registers including RFIs, variations, subcontractor documents, and insurances.
* Assist with scheduling activities by tracking milestones, lead times, and material deliverables.
* Coordinate communication between clients, consultants, subcontractors, and internal teams to support smooth project delivery.
* Maintain accurate and up-to-date records within Manteena systems and project management platforms.
* Support compliance with contractual requirements, legislation, company systems, and project procedures.
* Assist with safety administration, including SWMS collection, inductions, training records, and site documentation.
* Contribute to general site and office administration, including meeting coordination, reporting, and document preparation.
About you:
* Australian Citizen with the ability to obtain and maintain a Security Clearance.
* Minimum 2–3 years' experience in a Project Administrator, Project Coordinator, or similar role within the construction industry.
* Strong organisational skills with high attention to detail and the ability to manage multiple priorities.
* Confident communicator with the ability to build positive working relationships across project teams.
* Proactive mindset with a desire to learn and develop within a high-performing, collaborative environment.

Qualifications
* Diploma in Construction Management, Business Administration, or a related discipline (highly regarded).
* Construction White Card (mandatory).
* Asbestos Awareness and Silica Awareness.
* Full Australian Driver's Licence and own vehicle.
* First Aid Certificate (desirable).
* Additional building and construction qualifications highly regarded.
