About the Role
Port Hedland Industries Council (PHIC) is seeking an organised and proactive Business Administration Officer to support the CEO and the broader organisation in delivering PHIC\'s work across industry, government and the community.
This role is central to the day-to-day operations of PHIC and will suit someone who enjoys coordinating activities, supporting stakeholders and ensuring organisational processes run smoothly. The position works closely with the CEO and Community Relations Officer to support the coordination of PHIC\'s key working groups, meetings and community engagement activities.
About PHIC
The Port Hedland Industries Council (PHIC) represents major industry operating in the Port Hedland region and works collaboratively with government, community and industry stakeholders to support sustainable economic development and responsible industry operations.
PHIC plays an important role in facilitating dialogue between industry and the community on key issues including environment, economic development and regional planning.
Key Responsibilities
* Provide general administrative and logistical support to PHIC staff, including arranging travel, preparing documents and maintaining organisational records.
* Coordinate and schedule meetings for the CEO with external stakeholders including industry representatives and local, state and federal government.
* Coordinate and schedule PHIC\'s internal working group meetings
* Provide administrative support to meetings, including preparing agendas, distributing papers and taking minutes.
* Prepare formal minutes for all working group meetings and stakeholder forums.
* Maintain PHIC\'s central electronic filing system and ensure documentation is accurate, current and appropriately stored.
* Support the organisation and delivery of community forums, meetings and events, including managing RSVPs, assisting with presentations, and coordinating logistics such as catering and venue setup.
* Assist with administrative financial processes including financial acquittals.
* Demonstrate professionalism and integrity in all interactions with stakeholders and the community.
* Undertake other duties as required and comply with PHIC policies and procedures.
Skills and Experience
* Demonstrated experience in business or corporate administration environment.
* Strong organisational and coordination skills with attention to detail.
* Excellent written and verbal communication skills.
* Strong relationship management and customer service skills.
* High level of computer literacy including proficiency in Microsoft Office (Word, Excel and PowerPoint).
* Ability to work collaboratively within a team environment.
* Demonstrated ability to work independently, manage competing priorities and proactively identify solutions.
* Must have legal rights to work in Australia.
