Much like the town of Williamstown itself, Williamstown High School is steeped in a rich history. The Yalukit-willam clan of the Kulin nation were the first people to live where our two campuses are situated, and they called it \"koort-boork-boork\", meaning \"She-oak, She-oak, many¿ - a reference to the abundance of She-oak trees across the Hobson¿s Bay municipality. Today, the school maintains a focus on the environment with the Bayview Middle Years (7-9) Campus being located on the Port Phillip Bay waterfront, and featuring award-winning and environmentally sustainable building designs. The adjacent Jawbone Marine Sanctuary has also enabled the creation of an engaging and environmentally focused curriculum for students, that reflects the unique surroundings, and is complemented by our Marine Science program. The Pasco Later Years (10-12) Campus comprises a unique variety of architectural styles. Our oldest school building dates from 1867, and the most recent addition, our Centenary Theatre, opened in April 2017, contributing to a visually interesting and mature learning environment to meet the needs of our students as they move towards VCE studies.

HISTORY

Williamstown High School opened as a government high school in 1915 on the Pasco Street site of the original Williamstown Borough Grammar School. The school colours - red, yellow and black - were adopted from the flag of Belgium to draw inspiration from the spirit and resilience shown by the Belgians in World War One, and the anchor in the logo was used to honour the nearby Naval Depot. The school¿s maritime association continued when our motto `Hold Fast¿ - a sailing cry encouraging commitment, determination, loyalty, strength and courage, won out over ¿Don¿t Drift¿. Today, the school caters for more than 1480 students from years 7 to 12 on two campuses that are a ten-minute walk apart. The Bayview Street Middle Years Campus is built on the site of the former Point Gellibrand Girls¿ Secondary College which it merged with in 2000. The Pasco Street Later Years Campus is housed in several heritage buildings, including the original 1867 Williamstown Borough Grammar School block. Centenary celebrations and strong community support has delivered a state-of-the-art 300 seat theatre to the campus, completing Stage One of the Performing Arts Centre of Excellence facilities.

OUR UNIQUE OFFERINGS

In addition to co-educational home groups, the school offers a Select Entry Accelerated Learning program, an International Students¿ program and a dynamic and growing STEM/STEAM culture where our students engage in Robotics and other technologies that are fast-becoming essential areas of need and development as the twenty-first century progresses. We also offer an Accelerated Sports program which includes triathlon, netball, soccer, basketball, cricket and lacrosse. Our excellent Music Program includes multiple Concert/Stage Bands and Guitar/Vocal Ensembles, in addition to Classroom and VET Music Programs. Our ensembles perform regularly, including at Generations in Jazz, the Victorian State Band Championships and numerous other local and interstate events. Our very special and iconic `Warchild¿ concert also showcases the incredible talents of our young people and staff working together at this annual event.

Selection Criteria

Please address the following selection criteria:

SC1 Demonstrated knowledge and proficiency in the use of DET Administration, Financial and Human Resource Management office systems and software relevant to the position.

SC2 Demonstrated capacity to provide high level advice and support to the Principals, teachers and all school based staff on DET policies and procedures.


SC3 Demonstrated high level organisational skills including the ability to co-ordinate and prioritise work flow to meet deadlines within a busy environment.

SC4 Highly developed interpersonal and communication skills to build positive relationships with colleagues, ensuring confidentiality is always maintained.

SC5 Demonstrated commitment to working as a member of a team and an ability to work independently to ensure the continuous and efficient operation of the work environment.

Role

This role is Monday to Friday (during the school term), 7am - 3.06pm.

Range 4 is distinguished by broader management responsibility, particularly in the areas of finance, human resource and other support functions. Range 4 is responsible for managing a range of functions under a wide range of conditions, subject to the size and complexity of school operations.

Objectives will, generally, be clearly defined; guidelines will be broad and day-to-day direction minimal. Management responsibility extends to ensuring appropriate support levels are maintained across the school. Range 4 generally provides key support and timely advice to the leadership team and school council and liaises with the general school community, the Department and other government agencies and service providers.

Specialised professional roles will carry a high level of independence and accountability where suitable scope is provided to achieve objectives.

An education support class position supports the educational services being provided to students, but must not include duties of teaching as defined in clause 2.6.1 of the Education and Training Reform Act 2006 (Vic) or its successor. Supervision of students cannot be required except where it is an integral part of the employee's position or involves supervision of students individually or in small groups, in controlled circumstances, where the responsibility for students remains clearly with a teacher.

Responsibilities
Human Resources:
* Manage whole school HR employment processes, including posting vacancy advertisements on Recruitment Online (ROL), monitoring applicant numbers, setting up panel folders, organising interviews and referee questionnaires.
* Complete and finalise the appointment on EduPay, ensuring all relevant paperwork is completed, i.e. tax data, qualifications, Victorian Institute of Teaching registration, medical check; drawing up a Letter of Offer, assessment of prior experience outside a government school, if required, filing of all documentation.
* Validate payroll in eduPay and check/fix discrepancies/errors in preparation for final Principal certification.
* Maintain a record of staff leave applications to monitor requirements for advertising vacancies
* Oversee a consistent and professional interview process.
* Keep up-to-date and provide information to staff on HR procedures and work practices relating to the college HR operations in consultation with the Business Manager, the Principals and the Departments HR Services Unit.
* Assist staff with the use of ROL and EduPay.
* Maintain a database of all staff details that are on leave and replacement staff, time fraction changes, resignations, transfers, fixed term contracts. (Staffing Overview Document)
* Maintain personal files of all centrally paid staff and ensure all documentation is in chronological/date order.
* Process all staff leave requests, Special Payments, Higher Duties and overpayments in consultation with the Principal.
* Maintain accurate records with regard to staff years of service with WHS.
* Create and maintain a database of staff intentions for each subsequent year. Distribution of emails/google doc to all staff in last week of T2.
* Ensuring the Staffing Complete Overview document is correct and manageable/readable.
* Manage the Local Payroll process, ensuring CRT's are paid in a timely manner, personnel records are maintained and accurate, and all relevant paperwork is up to date.
* Assist the Business Manager with EOY local payroll processing.
* Setting up all CRTs and New Staff on the Network/Papercut/Compass etc.
* Maintain personal files of all School Local Payroll (SLP) staff e.g. ensure the correct information is given and supplied by CRTs and that records are kept up to date.
* Prepare SLP spreadsheet fortnightly and process SLP Journals ensure correct subprograms are charged for casual employment and superannuation.
* Advise library, office managers and IT technicians of new employees and staffing movement.
* Manage the WorkSafe process, ensuring claims are completed and returned to our insurer within timeframes, any subsequent follow up is attended to, and data filed. Keep up-to-date with new procedures/requirements as advised by DEECD.
* Manage and process Superannuation and PAYG End of Financial Year.
* Act as minute keeper for the College's Consultative Committee, type up the minutes, and distribute to all members when reviewed by the Principal. Complete any follow up work on CC HR outcomes (leave, vacancies, PORs).
* Short Term Leave Reimbursement.
* Organise and purchase staff gifts ensuring WHS staff association gift guidelines are followed.
* Process resignations, retirements and staff transfers (temporary and permanent)
* Programming of staff fobs
* Maintain information in the Positions of Responsibility (POR) booklet and ensure POR table is up-to-date
* Provide weekly TIL report to Principals & Business manager team, and verify TIL balances daily & assist staff entering TIL
* Assign staff houses in CASES21/Compass
* Add staff to VIT portal
* Assist staff in resetting passwords for eduPay via password manager for Bayview Campus
Facilities Hire:
* Program gym hire fobs
* Co-ordinate the hiring and use of classrooms, gymnasiums and outside courts within the school including quoting, invoicing, timetable, sending contracts, tours, general upkeep
* Liaising with staff re WHS bookings e.g. exams, events, etc.
* Ensure users are up to date with payments and public liability insurance
Daily Organiser:

The Daily Organiser is responsible for maintaining the daily operations of the Bayview Street Campus on a day to day basis through the coverage of classes when teachers are absent e.g. personal days, PD, excursions, PPDs, meetings etc.

Duties include:

* Attending school early enough to have any underloads, in-lieus and extras allocated before the commencement of classes and to maintain a record of such underloads, in-lieus and extras;
* Prepare and publish (via email) daily extras and events schedule of the campus using EdVal and Compass software.
* Maintain record of '

extras' taken by teaching staff.

* Organise employment of casual relief teachers (CRTs).
* Assist business manager with employment of casual education support staff (CES)
* Manage deployment of CRTs.
* Develop and provide a kit of information for CRT staff.
* Maintain campus 'daily organisation diary' in conjunction with Campus and Assistant Principals.
* Liaising with Campus Principal and Assistant Principal to ensure the diary is up to date with all activities.
* Check and endorse CRT invoices (both local payroll and outside providers) for fortnightly processing.
* Prepare accurate and up to date reports to the Leadership Team on staff extras and in-lieu replacements.
* Liaising with office manager for event charging
* Creating events for alternate programs
Other Duties:
* Updating Term staff lists to ensure all lists are up to date with current/new/exiting staff.
* Ask IT Technicians for voice mail numbers for new staff
* Reception duties as required.
* Papercut/Photocopying - updating documents and Papercut with the correct staff members in each budget.
* e-Schools management - ensuring new/exiting staff are inputted, coordinators are organised etc.
