Operations administrator

Stirling
Sports Surfaces
Posted: 3 June
Offer description

Sports Surfaces Group builds the places where communities play, where memories happen, and where people connect. From basketball and netball courts to cricket pitches and futsal facilities, our work creates the infrastructure for sport, recreation, and community across Western Australia.

We're a Perth-based company with fifty years of operating history and a small, dynamic team. We're going through a deliberate transition from a relationship‐based business into a properly systematised one — and we're looking for an experienced Operations Administrator to sit at the centre of that transition.

The role

You'll be the administrative engine of the business. Your job is to take the operational friction off the rest of the team so they can focus on winning work, delivering projects, and designing the systems that let us scale.

Responsibilities
* Setting up jobs in Simpro and keeping job costing data accurate — labour, materials in and out, progress, and final invoicing.
* Managing accounts receivable — chasing payments, reconciling against Xero, escalating overdues.
* Supporting our bookkeeper with accounts payable — cost coding, supplier queries.
* Quarterbacking our shared inboxes — triaging, routing, and replying to the right things.
* Capturing incoming client inquiries cleanly so they can be qualified and converted.
* Executing our job closeout process — warranty docs, final invoices, archiving.
* Supporting our Operations Manager on rolling out new systems, safety documentation, and process improvements.
Who we're looking for

You're an experienced administrator who genuinely enjoys systems and getting things organised. You've worked across multiple systems and platforms, including job management software (Simpro ideal) and accounting tools like Xero, and you're confident using Microsoft 365.

Desired qualities
* Brings genuine positive energy to the office every day.
* Is comfortable having a direct, robust conversation when something needs to be sorted.
* Doesn't shut down or go quiet under pressure.
* Takes ownership of outcomes, not just tasks.
* Is happy juggling multiple priorities without things slipping.
* Genuinely enjoys the craft of doing admin work well.
Why this role matters

This is not a phones‐and‐filing role. In a business our size, the Operations Administrator is the foundation under everything else we do. Done well, this role makes our data trustworthy, our cash flow predictable, our team's day easier, and our systems progressively better. You'll see the impact of your work every day, and you'll be working directly with the people who make the decisions.

What we offer
* $85,000 plus superannuation to start, with progression to $90,000 within the first six months based on performance and fit.
* A small, collaborative team where you're visible, valued, and trusted.
* A genuine seat at the table in how we build out our systems and processes.
* Variety — no two days are identical.
* A positive office culture where directness, initiative, and energy are valued.
* Office‐based in Perth, full‐time.
How to apply

Send your CV and a short cover note telling us why this role interests you and what attracts you to a business going through this kind of transition. We'd rather hear three honest sentences than a polished essay.
