Exciting opportunity for 2 Administration Officers to join our team!

- 1 full time position (37.5hrs pw) 6 months Fixed Term contract
- 1 part time position (22.5hrs pw) 10 months fixed term contract
- Hybrid work arrangements
- Adaptable on location

The Pharmaceutical Society of Australia (PSA) is on the lookout for two Administration Officers to join our team both positions being parental leave cover. This is a fantastic opportunity for people who are highly organised have strong administration skills with an interest in education to contribute to a purpose-driven organisation supporting pharmacists right across the country.

About the role

The Administration Officer Training & Assessment is responsible for providing administrative support to the training assessment team. This may include record keeping, database management, analysis of data and reporting and support and administrative services to maintain efficient training operations.

The role requires flexibility, responsiveness, excellent time management and communication skills and a familiarity and experience with a variety of office systems and processes.

Key responsibilities include

- Support the Training Assessment team to deliver training according to PSA policies and processes, RTO standards, government contract requirements and customer service agreements.
- Maintain and update training records.
- Data entry and management of student management, learner management and customer relationship management systems.
- Organise and process files and documents including creating and updating spreadsheets and forms.
- Prepare and disseminate training materials.
- Prepare training reports including learner enrolments, results and completions.
- Support trainer and assessors to monitor learner progress including creating and updating Training Plans under a VET framework.
- Respond to internal and external enquiries via email and telephone.
- Assist the Training and Assessment team in online workshop moderation.

About you

- Demonstrated experience in an administrative environment including knowledge and experience in the development and implementation of office systems and processes.
- High level communication skills both written and verbal including the ability to develop and maintain relationships with stakeholders.
- Excellent administration, organisation and time management skills including the ability to prioritise and multitask to deliver required outcomes with required timeframes whilst maintaining accuracy and attention to detail.
- Demonstrated ability to be an effective team member as well as work independently.
- Sound IT skills including proficiency in Microsoft Office and experience with Student Management, Learning Management and Customer Relationship Management Systems.

Desirable

- Experience in systems such as VETrak, Moodle and Salesforce.
- Experience working for a Registered Training Organisation (RTO).
