Practice Manager– Molesafe Skin Cancer Clinic, Windsor Victoria

We have an exciting opportunity for an experienced and motivated Practice Manager to lead our vibrant team at Molesafe Skin Cancer clinic in Windsor Victoria. This part-time position (3 days) offers the chance to play a pivotal role in managing one of Melbourne's most progressive and patient-focused Skin Cancer clinics.

Key Responsibilities
Leadership & Operations
* Lead and support a diverse team of doctors, nurses and reception, to ensure seamless daily operations.
* Implement, review, and maintain policies, procedures, and manuals in line with RACGP Standards.
* Oversee smooth coordination of appointment flow, recalls, and clinical tasking systems through Best Practice and HotDoc.
* Maintain high standards of patient service and confidentiality across all touchpoints.
* Oversee financial systems including Medicare batching, Tyro & HICAPS reconciliation, debtors management, and third-party accounts.
* Liaise with the accountant regarding accounts payable, doctor disbursements, BAS preparation, and staff wages.
* Manage timesheets, rostering, and leave approvals to ensure accurate payroll coordination and workforce planning.
* Monitor and analyse operational and financial data via Best Practice, and other reporting tools to optimise performance and efficiency.
Human Resources & Compliance
* Manage end-to-end HR processes including recruitment, onboarding, training, performance reviews, and performance management.
* Ensure compliance with Medicare, PRODA, privacy, infection control, and workplace safety standards.
Stock & Facility Oversight
* Oversee inventory management including ordering of consumables, and clinical supplies.
* Maintain supplier relationships and ensure cost-effective procurement.
* Ensure the physical environment of the clinic remains safe, functional, and aligned with patient expectations.
* Excellent interpersonal, communication, and conflict-resolution skills.
* Strong organisational and time management skills with attention to detail.
* Commitment to high-quality patient care, confidentiality, and professional ethics.
* Minimum 2 years' experience in Healthcare Management or a Leadership role
* Proven leadership and team development experience.
Preferred Criteria
* Strong understanding of RACGP Standards, and Medicare compliance.
* Demonstrated experience in financial administration, rostering and workforce planning, and bookkeeping liaison.
* Proficiency in Best Practice, PRODA, HotDoc, and Microsoft Office Suite.

MoleSafe is dedicated to providing a high quality, caring Skin Cancer service; with a reputation for quality care, focused on early detection of all types of skin cancers as well as timely management.
We are open Monday – Friday from 8:30am – 5.30pm with 3 part time experienced skin cancer doctors working across the 5 days.
As the practice enters an exciting phase of growth and expansion, we are seeking an experienced and commercially focused Practice Manager who can lead day-to-day operations while also driving business performance and supporting the next stage of the clinic's development.
This role will suit a proactive leader who thrives in a fast-paced healthcare environment and is passionate about both operational excellence and business growth. In addition to overseeing the smooth running of the clinic, the successful candidate will play an active role in marketing, advertising, business development, and growing the practice referral base through relationship building and networking with GP clinics, allied health providers, and other healthcare stakeholders.
