About The Role
As a Travel Coordinator, you’ll manage the end-to-end coordination of employee travel – from flights and accommodation to vehicle hire and visas. You’ll support the movement of pilots, engineers, and crew to operational bases across Australia and overseas.
This is a fast-paced role that requires adaptability, initiative, and the ability to handle shifting priorities at short notice. Your work will be critical to keeping our operations running smoothly.
We are looking for Full-time and Part-time employees.
Key Responsibilities
Coordinate domestic and international travel bookings, including flights, accommodation, and ground transportManage scheduling and availability of internal crew accommodation and rental propertiesArrange hire vehicles and manage fleet allocation for crew useOrganise travel and accommodation for business meetings, training, and conferencesLiaise with staff and external agencies to prepare and submit visa and travel documentationCollaborate with internal departments to ensure travel arrangements align with rostering requirements and budgetsMaintain accurate travel records, reports, and internal databasesMonitor flight changes, delays, and staff movements in real timeProvide administrative support as neededParticipate in an on-call roster for travel-related issues after hours and on weekends
What We're Looking For
Previous experience in travel coordination, travel consultancy, logistics, or a similar fieldCertificate or diploma in Travel and Tourism, Business Administration, or related field (desirable but not essential)Familiarity with GDS systems and booking engines (e.g., Galileo, Amadeus, Sabre) preferredStrong time management, prioritisation, and organisational skillsOutstanding written and verbal communication skills, especially under time pressureAbility to manage competing priorities and work independentlyProven discretion and ability to maintain confidentialityProficiency in Microsoft Office and data entry systemsA proactive, solution-focused mindset with high initiativeExperience coordinating FIFO workforce travel or working in aviation/emergency services is highly regarded, but we welcome candidates with strong organisational skills and a willingness to learn
