Primary objective
This position supports the Division of Medicine through the provision of a full range of administrative functions including finance,
executive secretarial support and strategic project management including review of policy, procedures and audit compliance.
Key duties and responsibilities
1. Provide high level assistance to the Co-Directors Medicine and the Operational Performance Manager including secretarial

support at executive meetings.
2. Provide support to medical staff on commencement of employment, assist with orientation, and arrange travel and

accommodation as necessary for permanent and visiting medical officers.
3. Assist with writing, reviewing and amending policies and procedures according to NTG and DoH policy guidelines.
4. Support in preparation of high level reports, memos and briefing papers
5. Support in undertaking strategically important projects as required.
6. Support to all Medical Officers for information and technology requirements.
7. Monitor and manage complaints in accordance with policies and procedures for the Division.
8. Follow defined service quality standards, work health and safety policies and procedures relating to the work being undertaken

in order to ensure high quality, protected services and workplaces.

Selection criteria
Essential
1. Demonstrated ability to provide consistently high quality administrative support in an efficient, highly confidential and mature

manner within designated timeframes.
2. Proven experience in working for a Manager and/or an Executive team providing secretariat support to committees including

the distribution of papers and minute taking.
3. Demonstrated written and verbal skills with an ability to communicate effectively with people of diverse cultures and health

professionals in a respective and sensitive manner.
4. Extensive knowledge in computing systems including word processing, spreadsheets, email, records management, database

and major business systems and the ability to use or learn computerised hospital or workforce systems.
5. Proven ability to develop, maintain and provide advice on procedures for administrative processes such as procurement, credit

card management travel and records management.
6. Ability to work independently and unsupervised with proven ability to maintain standards during periods of high workload

activity, particularly accuracy and attention to detail.
7. Demonstrated skills in engaging and negotiating with a range of stakeholders to achieve mutually acceptable solutions where

competing priorities exist.

Desirable
1. Experience in a health care setting
2. Cert IV in Business Administration
