JOB SUMMARY:

The overall scope of the Branch Administration Coordinator is to provide a high level of administrative support to the Port Macquarie Facility.

ESSENTIAL DUTIES AND RESPONSIBILITIES:

These duties are not meant to be all-inclusive and other duties may be assigned.

* Providing administrative support to the PMQ Branch.
* Carry out Baseplan functions for manufacturing as needed:
o Open and Post jobs
o Allocate parts
o Process parts issues and backorders
o Raise purchase orders
* Track fabrication, paint and assembly job progress using MS Excel ad create jobs accordingly to build schedule.
* Communicate shortages and back orders with store staff and production team
* Answering and transferring calls, greeting visitors.
* Liaising with national sales and administration team and various other JLG departments
* Create and modify documents using Microsoft Office
* Ordering of uniforms for staff
* Maintain hard copy and electronic filing system.
* Enter fortnightly time sheets for payroll into Baseplan
* Processing of local invoices
* Document machine arrivals and departures
* Raise and receipt purchase orders for transport and transfer of machines as required
* Maintain local machine inventory
* Provide ground support staff with professional administrative support including taking accurate and properly detailed messages, word processing duties, attending to routine correspondence and preparing documentation
* Maintain amendments to clients records in Baseplan as advised
* Maintain information in shared folders
* Printing, collating and binding of various manuals
* General administrative duties as required

MINIMUM QUALIFICATIONS:

* Strong organizational skills with exceptional follow through and attention to detail
* Strong time-management with the ability to multi-task to meet deadlines
* Ability to work in a fast-paced environment where requirements are constantly changing.
* Experience and proficiency with various web-based software applications that allow for transferrable skills to adequately use our Baseplan system
* Good communication skills with the ability to build rapport with a variety of people
* Previous experience providing administrative support to a manufacturing operation or related industry
* Intermediate computer skills including Microsoft Word, Excel, Powerpoint and CRM systems

PREFERRED QUALIFICATIONS:

* Reliable and punctual
* Previous experience supporting a busy manufacturing operation
* Professionally presented with a positive attitude
* Tertiary qualification in Business Administration

PHYSICAL REQUIREMENTS OF THE ROLE:

* Sitting for extended periods of time
* Walking between offices
* Use of computer and mouse
