About the Role
We are seeking a professional and highly organised Office Manager to join our team on a part‐time basis (Monday–Friday) at our Support Office in Mount Hawthorn.
This role is the face of our organisation and plays a vital role in ensuring the smooth day‐to‐day operation of our Support Office. You will provide reception and administrative support while assisting the Executive Team with a range of coordination and organisational tasks.

Key Responsibilities
* Manage reception and act as the first point of contact for visitors, residents, families, suppliers and staff.
* Answer and direct incoming phone calls and email enquiries.
* Provide administrative support to the Executive Team.
* Coordinate meetings, appointments and meeting room bookings.
* Prepare meeting agendas, take minutes and distribute action items.
* Assist with the preparation of reports, correspondence and presentations.
* Manage incoming and outgoing mail, couriers and deliveries.
* Order and maintain office, kitchen and stationery supplies.
* Ensure meeting rooms, boardrooms, reception and shared office areas are maintained to a professional standard.
* Assist with organising internal events, staff functions and executive meetings.
* Maintain office records, filing systems and administrative processes.
* Support general office operations and contribute to continuous improvement initiatives.
About You
You are a proactive, organised and customer‐focused administration professional who enjoys supporting others and keeping things running smoothly behind the scenes.
Selection Criteria
* Demonstrated experience in an Office Manager, Executive Assistant, Office Administrator or similar administrative role.
* Experience providing executive and administrative support in a professional office environment.
* Strong minute‐taking and meeting coordination skills.
* Excellent organisational skills with the ability to manage competing priorities and meet deadlines.
* High attention to detail and accuracy.
* Exceptional verbal and written communication skills.
* Strong interpersonal skills and a professional, friendly approach.
* Ability to maintain confidentiality and exercise discretion when handling sensitive information.
* Advanced proficiency in Microsoft Office Suite, including Outlook, Word, Excel and PowerPoint.
* Ability to work independently and take initiative.
* Experience working within aged care, healthcare, community services or a not‐for‐profit organisation.
* Experience supporting senior leaders or executive teams.
