The successful candidate will be based out of our Victoria office. The key responsibilities for this position include ensuring a positive customer experience, booking appointments, organizing the Service Electricians, and ensuring work is completed and paid for. This position reports directly to the Victoria Service Manager. The salary range for this position is $45,000.00 - $55,000.00 annually.AREAS OF RESPONSIBILITY:Answer incoming service calls and triage to schedule appointments.Create customer accounts, create work orders, collect all billing information and discuss billing with customer.Dispatch Service Electricians to calls and manage Service Electricians schedules including rescheduling calls, recording time off requests, etc.Send reminders to customers of scheduled work.Book Service Manager appointments to visit sites.Coordinate and schedule required equipment.O&M manuals, gas cards, general administration,Ensure employee hours are entered correctly and upload time to payroll system.Print packing slips and complete work order printouts.Prepare billing for Service Manager approval, once approved billing is invoiced through the Jonas software and emailed or mailed to the customer. Process customer payments.Maintain progress draw spreadsheet and invoices based on updated sheet.Ensure invoicing is accurate and up to date based on time & materials and work quoted.Follow up on accounts receivable as required.Train new Service Electricians and Apprentices.Schedule service meetings and take meeting minutes.Maintain on-call schedule.Pull service permits and call for inspections.Ensure permits are closed as needed, run expired permit reports, and post permit payments.Additional duties as required.KNOWLEDGE, SKILLS, ABILITIES, AND TRAINING:Previous experience in customer service and administration.Intermediate MS Office skills (Outlook, Word, Excel).Experience editing and creating documents with Adobe Acrobat.Ability to operate basic office equipment such as copiers, scanners, printers, multi-line phone system.Understanding of and competency using computerized accounting systems such as SAGE or Jonas (preferred).Strong organization skills and the able to multi-task.Strong interpersonal and communication skills, must be able to deal with the public in a positive and pleasant manner.Willing to learn, not afraid to ask questions and desire to progress into higher level positions as they become available.Apply today by responding to this ad.
