ANZSCO Code: ****** Position Type: Full-Time – Permanent Location: Gympie, Queensland (Australia), **** Industry: Health and Medical Services Administration Position Overview The Medical Practices Contract Administrator is responsible for planning, coordinating, and managing all contractual relationships across the organisation's network of healthcare entities.
The business operates exclusively through independent contractors — including medical practitioners, nurses, and allied-health professionals — rather than traditional employees.
The role ensures that every contractor engagement is properly documented, compliant, and maintained in accordance with Australian legislation, professional-practice standards, and the requirements of external authorities such as NDIS, Medicare, Centrelink, private insurers, local councils, and relevant state and federal government departments.
The Contract Administrator oversees the full lifecycle of agreements — from drafting and execution to variation, renewal, and termination — ensuring transparency, compliance, and operational continuity across all associated businesses.
Key Responsibilities Contract Management and Coordination Draft, prepare, and execute service agreements for independent practitioners, allied-health providers, and operational contractors.
Ensure that all new contractor engagements comply with AHPRA registration, insurance, tax, and privacy requirements.
Maintain a comprehensive contract register covering all entities within the business group.
Monitor, track, and implement contract variations, ensuring amendments are documented, approved, and communicated across affected business units.
Liaise with management, legal advisors, and accountants on contractual interpretations, renewals, and performance obligations.
Conduct regular audits to ensure every active contractor holds valid credentials and documentation.
External Stakeholder Liaison Manage communications and compliance reporting to NDIS, Medicare, Centrelink, WorkCover Queensland, private health insurers, local councils, and federal/state departments.
Prepare documentation for government audits, funding submissions, and accreditation reviews.
Coordinate responses to compliance requests from health regulators and insurers.
Supplier and Service Contracts Negotiate, manage, and monitor contracts with external suppliers and service providers (medical consumables, IT systems, maintenance, and pathology services).
Track supplier performance and cost effectiveness against agreed service levels.
Consolidate procurement data and contract summaries across associated entities.
Associated Entity Coordination Support all affiliated clinics and healthcare subsidiaries with contract preparation and policy alignment.
Develop and standardise templates, registers, and compliance procedures across the group.
Provide consolidated reports to directors covering contractor status, insurance renewals, and variation tracking.
Financial and Reporting Functions Reconcile contractor payments, supplier invoices, and claims linked to Medicare, NDIS, or private-insurance agreements.
Track budgets related to contracted service delivery and contractual obligations.
Prepare monthly management summaries detailing contract costs, renewals, and pending variations.
Operational Governance Implement procedures ensuring every contractor maintains valid ABN, insurance, and registration prior to engagement.
Support internal and external audits to verify compliance with regulatory and contractual frameworks.
Attend management meetings to present updates on contracts, variations, and compliance activities.
Skills Formal qualifications ·Diploma in Leadership, Business, Administration, Healthcare Administration, or Contract Management (or equivalent).
·Minimum 12 months' work experience in administrative, compliance, contractor-management, or healthcare-administration roles.
Work Experience: · 12 months of work experience is required.
Health Requirements: The role requires the capacity to perform administrative and communication tasks in an office environment.
