The Assistant to the Registrar provides administrative support to the Registrar who has operational oversight of the College's enrolment processes and strives to develop a strong sense of community and belonging to support students and their families.
The Assistant to the Registrar provides an exceptional level of service to and engagement with those supporting children starting their education and/or those with students embarking on new enrolment pathways. Building meaningful connections with parents, carers, siblings and extended family members, the Assistant to the Registrar values and nurtures productive relationships.
Assisting in managing student enrolments from enquiry to commencement, with the goal of ensuring full enrolment of the school, the Assistant to the Registrar will be actively involved in maintaining accurate and up to date data. Coordinating tours and administration packages and ensuring the day to day processing of enquiries and registration is efficient and transparent.
The position
* Full time, Term-time, 38 hours per week
* Fixed term contract commences February 2026 to 7 August 2026.

This position is responsible for, but not limited to:
* Supporting the Registrar, deliver on the phases of enrolment and work as part of a broader team to maintain a first-class admissions experience.
* Act as the customer service point of the Enrolments office by following up future enrolments and maintaining personal contact as well as maintaining current student/parent contacts data
Undertake daily processes essential to the Enrolments Office including:
* Database management, day-to-day enquiries, prospectus mail outs and follow up, registrations, offers and confirmation of enrolment letters
* Preparation of new student files and coordinate sub school handover, as well as processing changes in enrolment circumstances
* Oversight of bulk mailings including offer round and orientation packs; personal tours/family tours; updates to the enrolments manual.
* Support the Registrar to manage the scholarship program administration.
* Assist in the co-ordination of special events including, but not limited to: Principal's Tours, Scholarship Day, Student for a day, Orientation and Information events for new students
* Act as the second contact person, as required, providing advice and support to staff, to ensure the professionality of the department is always upheld and that business continuity across the College can be maintained.
* Provide administrative support across the administration team, and assist with relieving duties when other team members are on breaks, short periods of leave or engaged in urgent duties.
What do I need for the role?
* Qualifications in office administration, and a high level of proficiency in Microsoft Office
* Previous experience in a customer service role
* Experience in an admissions office and/or general administrative experience in a College environment, with the ability to upskill quickly
* Experience with TASS and Funnel databases
* Strong organisational and time management skills, particularly the ability to manage competing priorities
Mandatory Clearances/Certifications
* Blue Card, in accordance with 'No Card, No Link, No Start', as per the Working with Children (Risk Management and Screening) Act 2000
