Our client is a privately owned property landlord specializing in commercial offices, health, education, hospitality and retail developments. They place a strong emphasis on creating more community wellness and they enjoy making positive contributions to the economy, by creating more job opportunities. 95% of their assets are located in Victoria, with a few others spread across the country.
Based in the Eastern suburbs of Melbourne, they are seeking an Executive Assistant to work alongside their CEO. You will need to be organised and enjoy being busy, as your day will be varied and never quiet Some of your duties in this role are:
- Complete daily administrative duties as required and requested.
- Organise and manage CEO's daily meeting schedules and ensure all meeting preparations done prior to meet the requirements of each meeting.
- Conduct detailed research as instructed on various potential projects, sites, companies, and industry as required.
- Communicate with various department as instructed by the CEO and assignment of tasks with progress updates back to the CEO.
- Provide and develop training to the executive assistance team on procedures, compliance, follow ups, protocols, and systems to ensure efficiency and delivery across the executive assistance team.
- Manage and ensure that meeting rooms scheduling, food and beverages requirement, tea table resets are done through assignment of task to the office receptionist on duty of the day.
- Implement and monitor the filing of documentation is kept organised and electronic hard copies are recorded in compliance with the security protocol.
- Manage and monitor to ensure all sign offs are done and followed through on time to avoid delay and filed away accordingly.
- Performance valuation on executive assistance team and carry out discipline as required.
- Meeting minutes taking
- Assistance to prepare weekly, monthly yearly reports as required.
- Ensure the communication between various department remain efficient by exchange information on time through the assistance of the executive assistance team.
To be considered for this opportunity, you will have worked as an EA or PA before, in a Property, Real Estate or similar organisation. There is no working from home on offer in this role and this CEO needs someone who can be in the office, in the outer Eastern suburbs, full time.
