Family Nurture is a progressive multidisciplinary clinic dedicated to supporting children, adolescents, families, and adults through evidence-based mental health care. Our team includes psychiatrists, psychologists, occupational therapists, speech pathologists, accredited mental health social workers, dietitians, and other allied health professionals, all working collaboratively in a warm, family-centred environment.

With the opening of our second clinic at Pimpama, we are seeking a talented and passionate Admin Team Leader (2IC) to join our leadership team and help shape the future of our service.
About the Role
This is a unique, senior operational and administrative leadership position at the heart of our clinics. You will play a pivotal role in ensuring our daily operations run smoothly and in supporting families, clinicians, and our admin team across both locations.
You will be the the \"go-to\" person for day-to-day clinic matters, allowing our current Practice Manager to focus on business development, accounting, and strategic growth—while providing oversight and mentorship to you.

Location: Pacific Pines (primary), with oversight of Pimpama clinic
Hours: Negotiable, including some after-school hours
* Lead and supervise the admin/reception team across both clinics
* Coordinate team meetings and oversee rostering
* Ensure consistent application of policies and procedures
* Provide front desk cover when required
* Conduct annual reviews and support professional development
Client Experience & Escalation
* Act as the escalation point for complex client queries and concerns
* Resolve payment difficulties and sensitive issues with empathy and professionalism
* Ensure families feel informed, cared for, and respected
* Manage clinic schedules, waitlists, and caseload allocations
* Support clinicians with non-clinical queries and concerns
Operations & Coordination
* Oversee day-to-day non-clinical operations across both clinics
* Manage practice software (Medirecords) and streamline workflows
* Support intake, billing, scheduling, and community engagement activities
Advanced Responsibilities (For Experienced Candidates)
* Directly support the Director and executive team in operational efficiency and strategic growth
* Ensure compliance with relevant legislation and standards (Fair Work, Medicare, NDIS, SafeWork Australia, ethical guidelines)
* Drive organisational sustainability and team wellbeing

About You – Essential Criteria
* Minimum 5 years' experience in a team-based work environment (health, education, HR, business, administration, childcare, etc.)
* At least 2 years' experience leading or managing others (paid or voluntary)
* Outstanding written and verbal communication skills—friendly, authentic, and professional
* Exceptional discretion and commitment to confidentiality
* Highly organised, quick-thinking, and able to manage a fast-paced workday
* Strong initiative and ability to see the bigger picture
* Basic IT competence
* Must be an Australian permanent resident or have equivalent work rights
* Must hold a current Blue Card and a National Police Check for working with vulnerable people
* Experience in a health or allied health setting
* Familiarity with Medicare, MBS, NDIS, and medical practice software
* Previous receptionist or admin experience
* Marketing and business awareness
