The Administrative Coordinator - ELICOS Academic Team supports the national Academic Leadership Team by coordinating and completing academic administrative tasks, managing ELICOS staffing administration and records, escalating matters as appropriate, and proactively seeking to improve systems and processes in academic and staffing administration. Reporting directly to the National Academic Director ELICOS & Pathways and working closely with the campus Directors of Studies, the Administrative Coordinator - ELICOS Academic Team is responsible for overseeing all aspects of academic and staffing administration support across our five Australia campuses.
**Job Duties**
The duties of this position comprise, but are not limited to, supporting the National Academic Director and Directors of Studies and collaborating with colleagues in the completion of key administrative support tasks, and effectively liaising with Teachers, HR, Payroll, Quality Assurance and IT as required to carry out such tasks.
Job duties include:
- Attending Academic Team meetings where required and providing updates and recommendations on administrative matters and systems and processes improvement
- Assisting with teacher onboarding/offboarding document and data collection and inputting, and carrying out associated teaching staff record-keeping and systems updates
- Collecting, tracking and verifying required teacher employment documentation
- Tracking of teacher pay levels and assisting with drafting up contract changes for review
- Tracking teacher meeting and PD attendance records
- Liaising with the Directors of Studies on collecting and verifying information for timesheet completion and ensuring Payroll deadlines are adhered to
- Drafting letters and documentation such as Statements of Service for review
- Assisting with regular report preparation and data extraction for Academic Team
- Preparing academic and staffing documentation for re-registration, audits and reports
- Maintaining academic membership of associations, journals, and online educational software subscriptions
- Assisting with external event bookings and associated administration as required
- Supporting Academic Team in expenses tracking and follow-up
- Staying up to date with industry recruitment trends and requirements and software and processes innovations
- Continually reviewing and improving processes and procedures, including embracing innovation from both internal and external sources, escalating matters and making recommendations to the National Academic Director ELICOS & Pathways
- With the National Director and other management team members, developing and delivering on the college's directions, plans and KPIs Other related duties or projects as determined by the National Director and National Academic Director

- Outstanding organisational skills
- Ability to manage multiple tasks simultaneously
- Ability to meet tight deadlines in timely manner
- Experience in administrative duties, preferably in an international college and/or school
- Experience in teacher administration and data management
- Experience in academic leadership support and academic document management
- Excellent communication and interpersonal skills
- Ability to work effectively alongside and support other team members
- Ability to work independently and in support of national team across different time zones
- Familiarity with HR and payroll systems and procedures
- Familiarity with Post-Secondary Education Award 2020
- Excellent technical skills (data management systems, Microsoft 365, etc.)
- Fluency in written and spoken English
