Primary objective

The primary objective of the Senior Business Support Officer (SBSO) is to provide high level executive assistance, and corporate and

business support to the Deputy Chief Executive Officer and the Sustainable Energy Division, including in relation to effective management

of daily priorities, workflow coordination and stakeholder management to support effective delivery of divisional priorities and

accountabilities.

Context statement

The Deputy Chief Executive Officer has direct responsibility for the Sustainable Energy Division of the Department of Mining and Energy

and for the role of Deputy Chief Executive Officer. The Sustainable Energy Division drives energy reform to deliver affordable, reliable,

and secure energy supplies that meet the needs of Territory families, businesses, and industry.

Key duties and responsibilities

1. Provide high-level executive assistance, including diary management, meeting coordination, secretarial support, research, project

assistance, and financial administration, ensuring the DCEO and leadership team priorities are effectively managed.

2. Draft, review, and proof high-volume correspondence with accuracy and professionalism, while screening and prioritising emails, calls,

and messages on behalf of the DCEO with discretion.

3. Coordinate meetings and events, including agenda preparation, and follow-ups, while anticipating the DCEO needs through proactive

preparation of briefing materials.

4. Manage DCEO travel arrangements, project coordination, and daily office operations to ensure seamless workflow and risk mitigation.

5. Serve as the key liaison between the DCEO and internal/external stakeholders, fostering professional relationships and ensuring clear

communication.

6. Enhance workflow efficiency by developing and implementing systems that improve accuracy, reliability, and timeliness of executive

tasks.

Selection criteria

Essential

1. Proven successful experience working for a senior executive demonstrating well developed interpersonal, oral, and written

communication skills, and the ability to communicate effectively at all levels including with the senior executives.

2. Proven capability to operate effectively in a politically sensitive environment while maintaining high standards of professionalism,

ethics, departmental values and accountability.

3. Knowledge and understanding of government and ministerial protocols and procedures including standard formatting of

correspondence.

1. Demonstrated organisational and time management skills with the capacity to prioritise and meet competing deadlines and work under

pressure while maintaining quality of end product.

1. Proven ability to develop, maintain, apply and provide advice on procedures for administrative processes such as procurement, credit

card management, travel arrangements and records management.

6. Extensive knowledge in computer systems including word processing, spreadsheets and email.

7. Ability to implement robust monitoring and evaluation systems to identify areas for continuing improvement.

8. Ability to work in agile, collaborative teams and engage effectively with people from diverse backgrounds through problem solving and

influence.

Desirable

1. Knowledge and understanding of government and departmental processes including preparing high level reports, discussion papers

and correspondence including Ministerial and executive briefings.

2. Contemporary knowledge of relevant legislation, policies and procedures.
