Medical Receptionist / Secretary – Plastic & Reconstructive Surgery
Part-time 3 days a week.
About the Practice: Brisbane Hand and Plastic Surgery, a well-established, growing specialist practice supporting Plastic and Reconstructive surgeons Dr Kieran Rowe and Dr Andrew Lewandowski. Subspecialising in Skin Cancer, Head and Neck Surgery, Hand Trauma/Elective Surgery, Lymphedema, Body Contouring Surgery and Microsurgery.
We pride ourselves on delivering a Gold Standard in patient care and practice management. Our team is friendly, supportive, and committed to continuous quality improvement.
You will be supported by an Experienced Practice Manager and two Senior Medical Receptionists including a 2IC.
The Role
We are seeking an energetic, meticulous, and self-motivated professional to join our fast-paced team. While we require previous medical administration experience, we are committed to providing 1:1 training on our specific surgical administrative protocols and practice procedures.
Key Responsibilities
Customer Experience: Comprehensive management of the front desk, delivering excellence in customer service, meeting and greeting patients, and managing phone/email enquiries.
Clinic Management: Managing referrals, schedule appointments, prepare clinic lists, and ensure smooth day-to-day flow for the Surgeons. Organise and book scans, manage on referrals and preparation of Multidisciplinary Team Meetings.
Surgical Administration: Manage surgical bookings, coordinate theatre lists, provide quotes, and liaise with hospitals, anaesthetists, and surgical assistants.
Financial Administration: Process payments, handle Medicare/Health Fund billing, and assist with surgical billing.
Liaise with 3rd Parties: Workcover reporting, compliance and surgical approval management, liaising with Hand therapists to support hand clinics.
Email Management: review and respond to emails and be confident to approach the surgeons for management of queries. (The surgeons are very approachable, available and have priority for their patients and referring doctors.)
Essential Requirements
* Minimum 1–2 years of experience in medical administration (specifically within a private specialist practice, Orthopaedics or Plastics would be favourable but not essential). We are looking for the right fit for the team who is keen to learn.
* Strong organizational skills with the ability to prioritise tasks and multitask under pressure.
* Knowledge of private health fund billing processes.
* Exceptional communication skills (verbal and written) with a focus on empathy and professionalism.
* Ability to work in a team environment and take on feedback to ensure continuous improvement and process refinement.
* Australian Citizenship or Permanent Residency.
* Experience with Genie or Gentu software is highly regarded along with Microsoft office and ability to learn systems quickly.
