About the role
We have a fantastic 12-month contract opportunity to join our Centre Management Office at Stockland Wetherill Park Shopping Centre in an Administration/Finance Assistant role. An integral role supporting the centre team and retailers with high level administrative support, including a range of administrative and financial tasks.
This is a varied and fast-paced role with no two days the same. The role will see you interacting with a wide variety of individuals, providing you with an opportunity to showcase your excellent customer service and communication skills and gain experience in centre administration and operations.
Working closely with the Administration Manager, the position will include:
- Supporting the Administration Manager, with a range of administrative tasks, including monthly billing, utilities billing, debtor collection, and invoice reviews
- Preparing A/R invoices, daily receipting and payment allocation, and assisting with accounts payable while monitoring expenditure
- Assisting with debt management, including chasing outstanding accounts as directed
- Administering storage licences, including setup, vacates, billing updates, and ensuring accuracy
- Provide day to day administrative support for the centre management team
- Tracking expiring Public Liability Insurance (PLI), uploading valid copies into SAP, and assisting with the incident management process within Stockland guidelines
- Assisting in the preparation of financial and compliance reports, including regular charges/comparison reporting, meeting documentation, and extended trade compliance
- Providing sales collection support, SAP entry, and commentary when required
- Maintaining effective record keeping, files management, and archiving processes
- Acting as the initial point of contact for the centre management office, including tenant and contractor enquiries
- Maintaining strong relationships with retailers and contractors and responding to account queries professionally
- Attending and minuting meetings, preparing the boardroom for presentations, and supporting team communication
- Carrying out other ad-hoc administrative duties as required
About you
- You'll bring solid administration experience with a strong customer service focus
- An understanding of accounts payable would be preferred
- Attention to detail and a proactive approach to your work, with the ability to multi-task and prioritise
- Competent computer skills across the Microsoft Office Suite including Outlook, Excel and Word, experience using record management systems and comfortable learning and picking up new software packages
- Interpersonal and communication skills and able to work as part of a team or autonomously
- Ability to use your initiative and maintain confidentiality as required
