Medical Administrative Assistant (Part Time) – Bowen Hills, Australia. Permanent, part-time position with 0.6–0.7 FTE (48–56 hours per fortnight). Reports to the Nurse Unit Manager. Days required: Monday to Saturday. This role supports MSI Australia's clinics and embodies a professional, empathetic point of contact for clients accessing services.
MSI Australia is a leading, non-profit advocate and provider of abortion and contraception services. The organization delivers clinical and support services across Australia, engages in policy and advocacy work, provides information to the public, supports counselling and mental health awareness, and works to reduce stigma and discrimination related to access to abortion care and contraception.
Responsibilities
 * Reception – Provide excellent customer service; maintain a professional, supportive, and safe environment for client admission; manage inbound calls and transfer appropriately; uphold client privacy and confidentiality; handle client enquiries and escalate risks as needed; assess client needs and support the Clinic Manager as required.
 * Data entry – Ensure data accuracy in internal systems; accurately enter client demographics and government benefits; summarize, edit, and print discharge summaries and documents; update appointment status in the system with accurate clinical notes.
 * Medical records – Ensure client details are complete in systems; print client labels for clinical staff; maintain privacy rights and retrieve/ archive medical records per policy.
 * Eligibility Check / Medicare / Private Health / Invoicing / Billing – Perform eligibility checks and claims submissions; manage billing and financial documents; process EFTPOS payments; generate receipts; perform end-of-day banking reconciliation; submit Medicare batching and escalate errors as needed.
 * Additional areas of work – Order stationery and consumables; liaise with suppliers and contractors; data entry related to archived records; monitor client wait times and escalate risks when appropriate; participate in mandatory training.
Required Skills and Qualifications
 * A pro-choice advocate
 * Strong computer data entry skills and ability to learn complex software (hospital software exposure is highly desirable)
 * Experience in a client-focused healthcare environment
 * Knowledge of private health insurance and healthcare billing
 * Excellent written and spoken communication skills in English
 * Effective time management and prioritisation
 * Adaptability, teamwork, and collaboration
 * Self-regulation and ability to prioritise
